Kumba Iron Ore

We produce high-grade iron ore, the key component in steel widely used in construction and manufacturing across the world. Our activities include all aspects – exploration; mining; processing and blending; shipping; marketing and selling. In South Africa, we have mining operations in the Northern Cape province, as well as a head office in Gauteng, and a port operation in Saldanha Bay, Western Cape.

Job Description

As Technical Document Officer you will provide services as required and your responsibilities will include but not limited to:

  • Safety and Health
  • Support a safe and healthy work environment where workers, external service providers, and contractors can deliver their outputs within a controlled risk environment.
  • Keep environmental impact within statutory requirements to ensure compliance.
  • Support compliance with MHSA in the workspace.
  • Participate in VFL initiatives and submit the required number per month.
  • Performance and Delivery
  • Document Management & Control
  • Manage and maintain the drawings and documentation of Exploration, ensuring accuracy and up-to-date records.
  • Facilitate and manage the flow of documents between consultants, contractors, and Kumba, ensuring seamless communication and document transfer.
  • Support construction supervisors in controlling and managing drawing revisions, ensuring all updates are correctly documented and communicated.
  • Control and track Requests for Information (RFIs) and Technical Query Notifications (TQNs), ensuring timely responses and proper documentation.
  • Assist in regular audits of project documents and ensure adherence to Kumba's document control procedures by the project team.
  • Document Management System (DMS) Maintenance
  • Maintain the Exploration Document Control Systems (EDMS), including document libraries, logs, registers, and metadata.
  • Import documents into the EDMS environment by uploading soft copies or scanning hard copies, ensuring accurate and timely processing.
  • Conduct data quality checks on exploration sites to ensure the accuracy and consistency of information captured.
  • Stakeholder and Interface Support
  • Serve as the primary interface between Exploration and other disciplines regarding drawings and technical documents, facilitating precise and effective communication.
  • Ensure the timely receipt and approval of vendor documents as listed in the Vendor Document Requirements List (VDRL), according to contractually agreed deadlines.
  • Oversee the authorisation and circulation of documents between stakeholders, ensuring proper control and distribution.
  • Reporting & Representation
  • Compile and prepare progress report documentation and presentations as the project management team requires.
  • Act as the project team’s representative on document control issues in progress and other project-related meetings, addressing concerns and ensuring compliance with project standards.
  • Administration and Inventory
  • Manage and reconcile all office inventory, including stationery, consumables, and PPE.
  • Organise, document and file Purchase Orders.
  • Schedule and attend meetings, taking minutes when required.
  • Summarise monthly safety statistics

 

This role is in the Technical & Strategy (T&S) at a Band 7 level reporting to the Snr Exploration Geologist.

Qualifications

  • Grade 12
  • Relevant qualification in Document Control or a related field on NQF5
  • SAP Certification (Preferred)
  • SA Driver’s License Code B (Light vehicle)

Experience

  • Technical expertise gained through 3-5 years of experience in a greenfield or off-mine exploration environment would be preferable.
  • Knowledge of technical document management and control, especially in handling highly confidential documents.
  • Understanding exploration drawings, technical documents, and revision control processes.
  • Familiarity with project management principles, document flow, and reporting requirements.
  • Knowledge of data quality principles, metadata management, and auditing techniques.
  • Awareness of relevant industry standards and procedures related to technical document control.
  • Proficiency in MS Office Suite and SAP.
