Job Description
Name Change Administrator is responsible for handling owners’ requests related to processing and filing insurance claims, title transfers, name change requests, and clearing deceased individuals from title. The team member is also responsible for providing process and analytical support for all related functions.
Essential Duties and Responsibilities
- Manage and handle a high volume of correspondence between owners, courts, and attorneys related to title changes.
- Draft and send responses to owners, attorneys, and trustees to resolve issues.
- Track and maintain all incoming mail daily, and mail out procedure letters to owners advising what is needed to complete their claim and remove deceased individuals from title.
- Track and maintain mail-out codes as needed, ensuring proper follow-up is completed.
- Maintain assigned CSM cases, ensuring issues are resolved within 24 hours.
- Complete daily tasks as required by the department.
- Attempt to resolve title issues by communicating with attorneys and internal departments.
- Assist management with special projects or other administrative functions as required.
- Scan all correspondence from owners, attorneys, and other departments.
- Mail all correspondence related to name changes.
- Pick up and deliver mail during assigned weeks or upon management’s request.
- Prepare and package FedEx, USPS, and other shipping as needed.
- Assist co-workers upon completion of assigned duties.
- Review and respond to emails in a timely manner.
- Perform other duties as assigned by management.
Qualifications
- The Name Change Processor should have administrative experience and training in a wide range of office administration tasks. They must be able to work well under pressure and collaborate effectively within a team. Knowledge of title rules and regulations is also required.
- Fluency in English and Spanish is required (Portuguese is helpful but not required).
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy, with excellent follow-up skills.
- Ability to work independently and manage time effectively.
- Ability to multitask and communicate professionally with team members and owners.
- Ability to sit at a desk for extended periods of time.
Education and Experience
- High school diploma or general education degree (GED); one to three months of related experience and/or training; or an equivalent combination of education and experience (TBD).
- Relevant industry experience preferred.
Language Skills
- Ability to read, analyze, and interpret payment histories.
- Ability to effectively present information and respond to questions from managers and other departments.
- Strong written and verbal communication skills with owners.
- Bilingual (English and Spanish) preferred.
Mathematical Skills
Proficient in addition, subtraction, multiplication, division, fractions, and percentage allocation.
Reasoning Ability
- Ability to solve practical problems.
- Ability to interpret a variety of instructions provided in written, oral, diagram, or schedule form.
Physical Demands
- May be required to stand, walk, sit, use hands to handle objects, reach with hands and arms, climb, balance, stoop, kneel, crouch, crawl, talk, or hear.
- Occasionally lift and/or move up to 10 pounds.
- Specific vision abilities include close vision, distance vision, and depth perception.
