- Salary: HEW Level 6 $97,693 – $104,713 per annum, plus 17% Super and Leave Loading
- Based at Western’s Parramatta South and Hawkesbury (Richmond) campus, with flexible working arrangements
- Minimum 2 days per week at Parramatta South required
Provide high-level executive support enabling digital strategy delivery and operational excellence.
The Opportunity
Working closely with executive leaders and stakeholders across the University, the Executive Assistant and Administration Officer will provide comprehensive executive, administrative, governance and operational support to ensure the effective day-to-day functioning of the portfolio. The role supports the coordination of strategic and operational priorities, enabling informed decision-making, effective governance and strong stakeholder engagement.
The Executive Assistant and Administration Officer will manage a broad range of complex administrative functions, including executive diary management, travel coordination, correspondence management, expense processing, and the preparation of professional reports, presentations and briefing materials. The role also provides end-to-end secretariat support for meetings and committees, including the coordination of agendas, papers, minutes, action items and schedules.
In addition, the Executive Assistant and Administration Officer will coordinate events, forums, planning days and promotional activities, maintains robust records management and governance systems, and develops effective working relationships with a diverse range of internal and external stakeholders.
Operating within a high-volume and fast-paced environment, the role requires exceptional organisational skills, sound judgement, and the ability to manage competing priorities while handling sensitive and confidential matters with professionalism and discretion.

- Meetings and governance processes are well coordinated, with high quality documentation produced on time.
- Stakeholders experience responsive, professional and reliable engagement.
- Systems and processes are well organised, compliant and continuously maintained.
- Competing priorities are managed effectively under time pressure.

About You
This role requires strong executive support experience and the ability to operate in a complex organisational environment. You will have:
- Experience in a university or tertiary education environment, ideally supporting executive or senior leadership.
- High level of digital proficiency, including Microsoft 365 and enterprise systems, with the ability to produce polished documents and presentations.
- Well-developed communication, interpersonal and relationship management skills.
- Demonstrated organisational capability, including workflow management, prioritisation and meeting deadlines.
- Proactive, adaptable and solutions focused, with strong attention to detail in fast paced environments.
