Job Description
Responsible for supporting the Wellmark Vendor Management program by assisting with the vendor due diligence, developing and maintaining procedures, and developing relationships with internal and external stakeholders in support of assigned vendor relationships. Will coordinate and manage the vendor survey process; including drafting, compiling and analyzing responses. Provide assistance, support, and maintain the Procurement Services administrative system on behalf of the Vendor Management team, by troubleshooting issues, creating tickets, and providing training for department peers, internal stakeholders, and vendors.
Qualifications
Required:
- Associate’s degree or direct and applicable work experience.
- Minimum of 1-year experience managing relationships; such as vendor management, account management and/or risk management.
- Strong collaboration and interpersonal skills with the ability to quickly build relationships focused on collaboration and trust.
- Must exhibit a risk management mindset, one focused on overall risk assessments with the ability to recommend risk mitigation strategies.
- Ability to solve problems, develop solutions and assist the business leaders in achieving their financial and performance goals and objectives. Demonstrated ability to develop and maintain high-performance relationships with internal and external stakeholders and customers.
- Possess excellent written and oral communication skills and be a self-starter.
- Must show an ability to effectively establish thriving working relationships with all stakeholders, both internally and externally.
- Demonstrated ability to influence without authority and communicate upward and across divisions.
- Ability to think strategically and pro-actively partners with the business to drive results.
- Must be self-motivated and have a sense of urgency, with the ability to see what needs to be done and take action to ensure successful and timely accomplishments of business needs.
- Proficient in Microsoft Office (Word, Excel, and Power Point).
Preferred:
- Bachelor’s Degree in related field.
- Professional experience in insurance, financial services, banking, or another heavily regulated industry.
- Experience conducting initial and ongoing vendor due diligence, risk assessments, and recommending risk mitigation strategies in accordance with company policies and procedures.
- Proficient in Microsoft PowerBI.
Additional Information
Job Responsibilities
a. Coordinate with Procurement team members as well as other cross-organizational resources to identify and implement process improvements and create program and system efficiencies. Maintain process maps and documentation associated with policies, business processes, and desk level procedures. Continuously review and scrutinize processes within Vendor Management and look for ways to better serve the business and our vendors. Partner with leaders and peers within Procurement Services along with internal stakeholders to share ideas and implement changes.
b. Provide support to the Vendor Management team, internal, and external stakeholders by professionally, timely, and accurately responding to inquiries, and by facilitating the day-to-day follow-up and management of ongoing vendor risk assessments and due diligence.
c. Coordination and facilitation, as appropriate, of internal and external meetings in support of the Vendor Management program.
d. Responsible for building, maintaining, and compiling Vendor Management data and reports. Identify and execute data cleanup initiatives to ensure data integrity is maintained at all times.
e. Responsible for scanning new and potential vendors against the appropriate government watch lists, to ensure compliance with applicable laws and regulations.
f. Provide on-going vendor monitoring relationship management assigned vendors, by collaborating with department peers and business units to ensure vendor’s operational performance is meeting Wellmark’s expectations through the use of performance and relationship reviews. Diagnose and resolve potential risk issues with assigned vendors, including appropriate escalation as necessary, and assist with rehabilitation or risk remediation plans.
g. Collaborate with Vendor Management team to create and deliver training materials to be used internally and externally to ensure internal and external stakeholders are properly educated on Wellmark’s expectations for vendors throughout the lifecycle of the relationship.
h. Partner with the Procurement Services Data Analyst to implement and maintain Vendor Management functionality within the Procurement Services system, by serving as the Vendor Management system expert. Troubleshoot, test, create tickets, recommend enhancements, and assist vendors and internal stakeholders with system issues.
i. Send annual and ad-hoc due diligence requests to vendors per direction from Legal, Compliance, Cyber Security, or other departments as requested.
j. Manage the relationship and performance of Wellmark’s office supply vendor on behalf of the administrative teams across Wellmark.
k. Fulfill Blue Cross Blue Shield Association requests and/or requirements, as applicable.
l. Advocate and educate by serving as an ambassador for Vendor Management and Procurement Services. Assist with the investigation of new opportunities and leverage technology solutions in order to improve the efficiency and/or effectiveness of Vendor Risk Management processes.
m. Other duties as assigned.
