Job Description
We’re looking for a Senior Account Executive to join our media agency team and own the operational and relational infrastructure that keeps client accounts running smoothly. This role sits at the intersection of vendor management, financial operations, and creative delivery—requiring someone who is equally comfortable negotiating with RFP vendors, managing contract and invoicing workflows, tracking budgets with precision, and ensuring creative assets move through the process on time and on spec.

The right candidate is detail-oriented without losing sight of the bigger picture, proactive in surfacing issues before they become problems, and skilled at maintaining strong relationships on all sides—with clients, vendors, and internal teams. This is a role for someone who takes genuine ownership of their accounts and brings structure, clarity, and momentum to every workstream they touch.
Key Responsibilities
RFP & Vendor Management: Lead or support the RFP process for assigned accounts—developing briefs, evaluating vendor responses, coordinating internal reviews, and managing vendor relationships through selection, onboarding, and ongoing partnership.
Contract Management: Oversee the contract lifecycle for assigned vendors and partners—initiating agreements, tracking execution, flagging renewals and expirations, and ensuring all contractual obligations are documented and met on both sides.
Invoicing & Financial Operations: Manage invoicing workflows across accounts, ensuring accurate and timely billing, reconciling discrepancies, and coordinating with finance and vendor contacts to resolve issues efficiently.
Budget Management: Own budget tracking across assigned accounts, maintaining up-to-date budget documents, monitoring actuals versus estimates, flagging variances proactively, and keeping internal teams and clients informed of financial status.
Creative & Asset Delivery: Serve as the operational lead for creative and asset delivery across campaigns, tracking deadlines, coordinating between creative, media, and client teams, ensuring assets are trafficked on time, and managing revision cycles to keep production on schedule.
Client Communication & Relationship Management: Serve as a reliable day-to-day point of contact for assigned client accounts, providing timely updates, managing expectations, and building the trust that comes from consistent follow-through.
Cross-Functional Coordination: Partner with media planning, strategy, analytics, and creative teams internally to ensure all account workstreams are aligned, dependencies are visible, and nothing falls through the cracks.
Qualifications
5–7 years of account management or account services experience within a media agency, advertising agency, or integrated marketing environment.
Demonstrated experience managing vendor RFP processes, contract administration, and invoicing workflows with a high degree of accuracy and ownership.
Strong budget management skills—comfortable building and maintaining budget trackers, reconciling actuals, and communicating financial status clearly to internal and client stakeholders.
Experience managing creative and asset delivery timelines across multi-channel campaigns, including coordination between creative, production, media, and client teams.
Exceptional organizational skills and attention to detail; able to manage multiple accounts and workstreams simultaneously without losing track of commitments or deadlines.
Strong written and verbal communication skills; confident in client-facing settings and able to navigate nuanced conversations around budgets, timelines, and deliverables with composure.
Proactive working style—identifies issues early, escalates appropriately, and moves work forward without waiting to be directed.
