Job Description

Responsible for the timely, accurate and efficient preparation and management of documents and templates. Controlling the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects, or departments.

Ability to change priorities and the willingness to adapt to various situations will be an important aspect of this position. Stringency in data handling, high organizational capacity, and excellent writing skills are required skills.

  • Write-up and format documents as a resulting from personal participation in meetings
  • Format and reconcile Standard Operations Procedures and Work Instructions as a part of Platform standards creation
  • Review and update documents for quality assurance
  • Remind departments of the need for updating documents due to inconsistent or outdated information
  • Keep other personnel updated on new document versions and how to obtain access
  • Handle records across various departments
  • Create templates for use by other personnel, enforce the use of those templates
  • Maintain confidentiality regarding sensitive documents
  • Establish and maintain record retention timelines
  • 30% of the time you will: Assist the Chief Technical Officer and the Platform team with participating in meetings and functioning as the documenter of the results from these meetings in the format of Standard Operating Procedures and associated documents.
  • 50% of the time you will: work independently at your computer with formatting and writing up documents to support the Platform.
  • 20% of the time you will: support other departments at VBC with documentation efforts.
  • Travelling will be required between the different sites. Presence on location will make up 10% of the work time.

Qualifications

  • Computer literacy especially in Microsoft Word, Excel, and PowerPoint. Comfortable in working with setting up templates in the Microsoft Office 365 suite.
  • Understanding of digital systems and what data they produce (such as SAP, BIM360, Procore)
  • Experience with a manufacturing and/or a construction environment in terms of terminology
  • Familiarity with engineering drawings and illustrations used in manufacturing and/or construction
  • Experience in report generation and information presentation
  • Trained in perceiving the underlying intention of what is conveyed from a meeting and condensing that information in written format
  • Logical skills in terms of describing stepwise events such as processes
  • Very good language skills in written and oral English, preferably with a technical English specialization
  • Bachelor’s degree in related subjects
  • Appetite and willingness to learn and follow Lean methodologies

  • Reports directly to CTO
  • Member of the Platform team
  • Platform is a team parallel to the Project Delivery Stream i.e. does not partake operations
