Job Description

Responsibilities of this role include:

  • Coordinate operational, administrative, and logistical support across key Employee Success and VCA NA initiatives.

  • Help drive the planning and execution of employee programs by managing calendars, timelines, registrations, materials, communications, and follow-up actions.

  • Gather and maintain program data and participant feedback to ensure accurate records and clear reporting for stakeholders.

  • Work cross-functionally with internal and external partners to enable the successful execution of events and strategic initiatives.

  • Provide support for internal communications and other high-visibility initiatives through document preparation, formatting, coordination, and distribution.

  • Develop and refresh presentations, decks, and written materials that support program delivery and stakeholder engagement.

  • Manage and update SharePoint sites, shared documents, and team resources that support Employee Success initiatives.

  • Recommend enhancements to processes, templates, and workflows to improve efficiency and consistency across the team.

  • Leverage emerging technologies, including AI-enabled tools, to streamline work and improve operational effectiveness.

This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.

 

Qualifications

Basic Qualification:

  • 2 or more years of work experience with a Bachelor’s Degree or an Advanced Degree (e.g. Masters, MBA, JD, MD, or PhD)

 

Preferred Qualifications

  • 3 or more years of work experience with a Bachelor’s Degree or more than 2 years of work experience with an Advanced Degree (e.g. Masters, MBA, JD, MD)
  • Past work experience in supporting cross-functional programs, events, or strategic initiatives in a fast-paced corporate environment.
  • Creative thinker with a results orientation who approaches challenges with thoughtfulness, drive, and appropriate urgency.
  • Team oriented, collaborative, diplomatic, and flexible, able to work effectively in matrixed organization.
  • Self-motivated, results oriented individual with the ability to handle numerous projects concurrently Strong organizational skills with the ability to manage multiple priorities, track details, and meet deadlines with a high level of accuracy.
  • Demonstrated ability to coordinate logistics and administrative processes for programs, meetings, or events. Experience working with enterprise tools such as SharePoint, Microsoft Office, Outlook, Excel, or similar systems.
  • Excellent communication, storytelling and presentation skills Ability to create well-structured and visually compelling PowerPoint presentations for internal audiences. Strong written and verbal communication skills, with the ability to prepare polished materials and communicate effectively with stakeholders.
  • Comfortable compiling, organizing, and summarizing data to support reporting, program tracking, and decision-making.
  • Ability to work collaboratively across teams and build strong working relationships with internal partners and external vendors. Strong attention to detail and a proactive approach to problem-solving and process improvement.

Additional Information

Work Hours: Varies upon the needs of the department.

Travel Requirements: This position requires travel 5-10% of the time.

Mental/Physical Requirements: This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for this position is 109,700.00 to 170,200.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
