Overview

The senior corporate communications coordinator will provide overall administrative and operational support to the LAC corporate communications team to ensure smooth operations of a fast-paced, results-driven team; and overall support in the logistics and operations of key LAC region-wide corporate communications and employee engagement initiatives. 

Job Description

Administrative support to LAC corporate communications function

  • Schedule meetings and appointments; secure rooms and internal spaces for activities

  • Book and manage travel logistics and itineraries for the function members

  • Prepare and submit expense reports for the Miami-based team (representing hub; Caribbean and Central America; Andean region)

  • Maintain an organized filing system of paper and electronic documents as per Visa’s records and information management program

  • Prepare internal and external documents for LAC corporate communications team members in support of function operations 

  • Review options, requests proposals, secure events for LAC corporate communications events and activities that take place outside of Visa premises  

  • Renew subscriptions of key publications provided for employees

  • Track inventory of department Visa branded products

Support overall corporate communications procurement process

  • Onboard new vendors; generate VSN’s for onboarding; open and renew POs as appropriate

  • Review and reconciliation of vendor invoices, ensuring billing are aligned with contracts and terms and conditions of service. Liaison between vendors and account payables to ensure timely billing and receiving

  • Review finance reports to validate that all expenses match correctly and are properly coded

Employee Communications Support

  • Manage logistics of LAC regionwide employee events such as quarterly all-staff meetings, coffee-break sessions, and Getting to Know You Sessions.

    • Request Visa TV and audio support, room setup and beverages

    • Take pictures of session following corporate communications guidelines

    • Ensure that recording of event is uploaded in timely fashion

    • Send email with survey to all employees immediately after events

    • Coordinate inclusion of relevant content and digital signage and other internal channels

    • Create weekly slide welcoming new employees in Miami, and request upload to digital signage system

       

  • Manage logistics (secure venue and transportation as needed, coordination with vendors, internal registration process) of major employee engagement activations in Miami, such as the Mercedes Benz corporate run, Bring Your Child to Work day, visits from students to Visa offices as part of the HISPA program, toy drive, social hours and Miami holiday party.

  • Manage LAC Corporate Communications mailbox

    • Update distribution lists for all LAC offices

    • Format weekly internal bulletin

    • Distribute daily News of the Day

    • Distribute region-wide announcements

    • Send calendar invites from the LAC Corporate Communications mailbox for Miami events

    • Distribute in-house notifications accordingly from Corp Comm or the Regional President mailbox

Qualifications

 

  • Associates degree or equivalent work experience; with a minimum of 5 years experience
  • Must be able to exercise good judgment regarding information which may be confidential
  • Must have excellent communications skills both verbal and written in Spanish and English
  • Ability to operate effectively and efficiently in a challenging, fast-paced environment
  • Customer service-focused, team player with ability to work collaboratively across functions
  • Ability to multi-task and prioritize work with attention to detail
  • Experience using Microsoft products including PowerPoint, Excel, Word and Outlook
  • Strong organizational, project management and problem-solving skills
  • Experience in planning and organizing events with multiple stakeholders
  • Exceptional interpersonal skills
  • Friendly and professional demeanor
