Job Description

We are seeking a detail-oriented Project Coordinator to support our Projects Department in Cary, NC by assisting 4-5 project managers in delivering projects on time and on budget.

In this role, you'll be instrumental in ensuring all stakeholder expectations are met while maintaining the highest performance standards. This position reports to the Projects Department Manager.

Key Responsibilities

  • Project Initiation: Prepare kickoff meeting materials, project plans, and introduction letters; attend meetings and document discussions
  • Documentation Management: Review, assemble, and organize submittals and O&M specifications for I&C and mechanical systems in PDF format
  • Standard Products: Generate submittals and O&Ms for standard products using project information
  • Coordination: Coordinate hardcopy submittals and O&Ms with administrative support
  • Project Tracking: Update and maintain project plans including POs, transmittals, change logs, and milestone schedules
  • Inventory & Expediting: Track and expedite equipment, instruments, and materials; manage I&C inventory for bulk-ordered panel parts
  • Administrative Support: Update PM assignment sheets, assist with invoicing, warranty items, and project closeout documentation
  • Systems Management: Maintain project information in Asana/Smartsheet; create and manage base project templates
  • Procurement Support: Assist with I&C purchasing, including quotes and purchase requisitions using LATIS ERP system
  • Other duties as assigned by the Projects Department Manager.

Qualifications

Required Qualifications

  • 5+ years of experience in an Administrative Assistant or related position
  • Excellent written communication skills with ability to interact across multiple internal and external disciplines
  • Proficiency with email and intermediate-to-advanced typing skills
  • Strong organizational skills and schedule management abilities
  • Self-motivated with ability to identify and address needs independently

Preferred Qualifications

  • Bachelor's Degree
  • Intermediate-level proficiency: Google Docs
  • Beginning-level proficiency: Google Sheets, Adobe Acrobat Pro.
