Job Description
The Document Controller is responsible for being the main driver in supporting the document control support.
Main Responsibilities:
- Maintain and develop systems of classification and control of documents
- Responsible for providing assistance on delivery on document control scope and MOC
- Prepare the directories and update the document management systems
- Ensure the recording, filing and dissemination of documentation in document management systems
- Draft policies, procedures, document management plans to ensure the proper processing and exploitation of documentary resources (production, preparation, verification, validation, dissemination, filing and archiving of documents)
- Participate in the improvement of document management practices and the standardization of practices between the different project sites
- Prepare, make available and control the formalism of the documentation: models, references, versions
- Organize training on policies, procedures, plans and document management systems
- Participate in the implementation of corporate classification systems, retention schedules and tracking instruments
- Analyze information management needs and demands
- Ensure the understanding and application of document management policies, procedures and plans by members of project teams
- Prepare and track shipments and receive documents and correspondence with stakeholders
- Answering questions from users of document systems
- Provide explanations, advice and support on document management and the use of management systems that are compliant with company policies and procedures
- Participate in the different projects using their expertise
Qualifications
Requirements:
- Have 5 years of experience and education in document control and management, particularly in integrated document management (IDM);
- Advanced knowledge of Google suite software (Google Sheet, Google Word, Team Drive, etc.) and Office.
- Autonomy;
- Spoken and written bilingualism is an advantage;
- Initiative;
- Well organized;
- Versatility;
- Team player;
- Excellent communication;
- Experience in contract management would be an asset especially in the framework of Public Private Partnerships or consortium;
- Ability to work in a team and within tight deadlines;
- High level of confidentiality required.
- Experience in engineering, construction or plant environment
- Trained internal auditor.
- Manages the set up and maintenance of document control / records management for multiple projects and Project Managers.
Work Environment:
Permanent position, offered on a full-time basis.
The job holder spends most of his/her time in an office environment. The position may require prolonged periods of sitting; working on the telephone and/or computer, as well as interactions with other staff members and customers.
Salary: 70,000-85,000$/year + eligible for company annual bonus program
