This role is pivotal in driving process improvement initiatives and ensuring compliance with internal requirements and policies. The successful candidate will be embedded within the creative design team, playing a crucial role in business process management and continuous improvement activities.

Job Description

Key Responsibilities:

  • Project Coordination:
    • Coordinate and manage project timelines, deliverables, and resources.
    • Facilitate communication and collaboration among team members and stakeholders.
  • Process Improvement:
    • Support in identifying opportunities for process enhancements within the design team process.
    • Collaborate with team members to streamline workflows and improve efficiency.
    • Provide support in training the design team on compliance and process improvement initiatives.
  • Reporting:
    • Prepare detailed reports on audit findings and process improvements for senior management.
  • Continuous Improvement:
    • Support continuous improvement activities within the team.
    • Gather feedback and data to identify areas for improvement.

Day-to-day tasks:

  • Logging and proper tagging of all requests in the Project tracker (daily)
  • Creation of monthly reports from the Design Request Form
  • Tracking of agency related data (PO numbers, CEs, contracts)
  • Support in the creation and maintenance of Business Process Management (BPM) related assets
  • Maintenance of planners (moving, tagging and closing requests) and file management system
  • Join stakeholder calls or organize team meeting agenda related to the tasks above.

Qualifications

  • Bachelor’s degree in Business Administration, Project Management, Communications or a related field.
  • Proven experience in account management in advertising/marketing/design agency setting, project coordination, process improvement, and compliance management.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills in English language.
  • Ability to work effectively within a creative team environment.
  • Proficiency in project management tools and software.

Additional Information

Preferred Skills:

  • Possesses a strong command of Microsoft Excel’s features and functions. Can efficiently create and manipulate spreadsheets, perform data analysis, and automate tasks using formulas and macros.
  • Experience in the communications or design industry and understands creative workflow.
  • Knowledge of business process management methodologies.
  • Familiarity with Office 365 environment
  • Certification in project management
