Job Description

General Summary

Provides strategic, operational, and administrative support to the Chief of Staff, CEO, and Board of Directors of the University of Maryland Medical Center (UMMC). Supports strategic outreach, Board and Committee engagement, and execution of priority initiatives, while overseeing day-to-day operations of the CEO Office. Drafts executive communications, coordinates leadership activities and events, and ensures effective follow-through on Board and leadership priorities.

Primary Responsibilities

  • Manage planning, and operation of UMMC Board meetings and some UMMC committees, along with Board activities and events. Will attend Board meetings as well as participate in strategic planning of board activities.
  • Draft presentations, reports, communications, letters, and reviews for the Chief of Staff, Chair of the Board and other Directors.
  • Oversee the creation and maintenance of Board directories and website content, board manuals and training/orientation materials utilizing internal resources or in conjunction with vendors.
  • Coordinate and manage special projects at the direction of the Chief of Staff. Work strategically with the Board Chair on initiatives.
  • Oversee the logistical support for Board meetings. Manage the maintenance of the Board calendar including coordination of meeting scheduling, online Board Books, communications, recording keeping, and documentation, including minutes and pre-read packages.
  • Translate Integrated Leadership Team decisions into actionable workplans, timelines, and deliverables, and monitor progress across multiple stakeholders.
  • Prepare materials, dashboards, and status updates for Integrated Leadership Team meetings to support informed decision-making and accountability.
  • Provide oversight and counsel to coordinate all activities within the CEO office, including communications to Administrative Staff and Executive team. This philanthropy and community engagement events. Work with executive leadership to determine best participants for such events.
  • Facilitate and assist in coordinating employee/team events for hospital wide events, retirements and employee focused celebrations.
  • Collaborate with the Facilities PMs on construction taking place in the executive office. Communicate and facilitate completion of tasks and any accommodation required.
  • Provide back up for both CEO Operations Manager and Chief of Staff as needed.

Qualifications

Education and Experience

  • Bachelor’s degree in Business Administration, Communications, Healthcare, Legal, or related work experience
  • Five or more years of Business Management experience
  • Board liaison experience preferred

Knowledge, Skills and Abilities

 

  • Advanced oral and written communication skills, and report preparation and presentation skills of board communications.
  • Possess strong leadership, organizational, interpersonal, time management, problem solving and multi-tasking skills.
  • Maintain a high standard of confidentiality. Attention to detail, resourcefulness, flexibility; decision-making skills needed in high-pressure situations; time management skills; self-starter.
  • Must be at an advanced professional level user of MS Office, including Word, Excel, PowerPoint and Outlook.
