Department: Data & Analytics
Reports to: Health Records Manager
Hours: 37.5 hours per week
Salary: $23.14 to $28.92 per hour. Start rate non-negotiable
Status: Temporary Full Time
Closing Date: August 13, 2026

This position is a newly-unionized CUPE Clerical (TGH) position, and the Collective Agreement has not yet been negotiated or ratified. Once finalized, the terms and conditions of your employment could change, in accordance with the collective agreement

Position Summary
Working under the direction of the Health Records manager and the Toronto Rehab Supervisor the Clerical Assistant III plays a critical role in managing, organizing and maintaining medical records and health information. The primary responsibilities of this position include processing releases, storing, retrieving and correcting patient health records in compliance with legal and privacy standards. 

Duties

  • Processing Release of Information requests and maintains confidentiality of patient records
  • Knowledgeable in PHIPA, FIPPA, PHA and other legislation related to Patient Health Information
  • Assists customers with completing Authorization for Disclosure of Patient Information form.
  • Assists in patient corrections
  • Involved in aspects of chart management such as indexing, scanning, filing
  • Acts as a mentor/coach to students, volunteers and new staff providing training and guidance on release of information functions within the department.  Coordinate training/skills development and prepare the necessary documentation.
  • Performing activities such as answering and redirecting telephone calls, responding to basic internal and external inquiries, receiving and welcoming visitors and directing visitors to appropriate personnel/area
  • Performing cross-functional clerical support functions and other related duties as required

Qualifications

  • Knowledgeable with legislation affecting privacy, access and disclosure
  • Knowledgeable in all Health Record functions
  • Effective interpersonal, written and communication skills
  • Excellent organizational, time management and problem-solving skills
  • Exceptional telephone, and customer service skills.
  • Ability to work independently with minimal supervision
  • Knowledgeable with EPIC Release of Information Module would be an asset
  • Experience in a computerized Health Care Management System would be an asset Successfully completed an approved Health Information Management Program and a current member of CHIMA would be an asset
