Status: Temporary Full-time ( one year contract )

Job Summary

We are a specialty ophthalmology practice focused on glaucoma, cataract surgery, anterior segment surgery, patient education, innovation, and academic excellence. The successful candidate will work closely with the physician to support clinical workflow, optimize practice operations, enhance the patient experience, and contribute to research, outreach, and educational initiatives.

This position offers a unique opportunity for an individual interested in developing expertise in ophthalmology, healthcare administration, research coordination, clinical innovation, and practice management while playing a meaningful role in the growth and evolution of a modern patient-centered specialty practice.

Duties

Clinical Documentation & Patient Care Coordination

  • Accurately document patient encounters in real-time during clinic visits using electronic medical record (EMR) systems.
  • Help develop and maintain structured care pathways for glaucoma management, dry eye disease, laser and surgical planning, low vision rehabilitation, and discharge planning.
  • Coordinate operational projects aimed at improving patient care, reducing inefficiencies, and enhancing service delivery.                                                                                                   

Practice Development, Branding & Patient Experience

  • Assist in developing and maintaining brand across digital (website, social media) and print platforms (pamphlet).
  • Collect and organize patient testimonials and patient experience initiatives.
  • Develop and maintain patient education materials including pamphlets, surgery information sheets, glaucoma testing information, cataract and biometry resources, and waiting room educational content.
  • Support physician profile development for professional and community-facing initiatives.
  • Support outreach and relationship-building initiatives with optometrists, ophthalmologists, referral partners, and community stakeholders across Toronto and the GTA.

Research, Academic & Innovation Support

  • Provide administrative and project coordination support for clinical research, academic activities, and innovation initiatives.
  • Maintain physician academic records including CV updates, surgical logs, conference tracking, abstract submissions, and publication planning.

Teaching, Educational Content & Case Collection

  • Assist in organizing and cataloguing educational and clinical materials including surgical videos, teaching cases, slit lamp photography, and unique clinical cases.

Qualifications

 

  • Completion of Grade XII 
  • Completion of a recognized post-secondary office administration program at the certificate level or equivalent preferred 
  • Experience within an Ophthalmology setting an asset. 
  • Two (2) year related clerical experience an asset. 
  • Previous on-the-job word processing and spreadsheet experience required; experience working in an Microsoft Office software environment  
  • Experience working in a health care environment  
  • General knowledge of office practices, processes and procedures 
  • Knowledge of medical terminology  
  • Knowledge of Emergency Assistance Codes 
  • Excellent organizational, time management and prioritization skills 
  • Very good interpersonal and customer service skills 
  • Good data entry/keyboarding skills 
  • Good verbal and written communication skills 
  • Good problem solving skills 
  • Ability to produce high quality work in accordance with Hospital standards 
  • Ability to work effectively and safely when dealing with stressful situations
