The Coordinator, Estates & Gift Planning (EGP) provides administrative support and is a key member of the EGP team. The incumbent will assist in the coordination and administration of the Estates & Gift Planning program activities. Competencies include strong time-management, attention to detail, working collaboratively as part of a team as well as working independently with minimum supervision. Excellent interpersonal and communication skills are essential as the incumbent will liaise with external and internal stakeholders, including Foundation colleagues, cancer centre staff, donors and volunteers.

The Coordinator reports directly to the Associate Vice President, Estates & Gift Planning.

Provide administrative support:

  • Provide support for EGP program activities associated with achieving annual goals;
  • Triage donor inquiries and ensure tracking for any necessary follow-up;
  • Draft communications such as thank-you letters, briefing notes, agendas and meeting minutes;
  • Support in-house mailing needs for EGP communications;
  • Coordinate donor appreciation touchpoints, such as flowers, for special occasions;
  • Track program activity expenses and coordinate payments including cheque requisitions and life insurance premium payments;
  • Create, maintain or update all procedural documentation, as required;
  • Scanning of donor documentation and organization of digital files in Sharepoint;
  • Compile basic statistical, financial and other data to generate and prepare reports, mail merges and other documentation;
  • Track all donor engagement across multiple platforms to create a comprehensive inventory of donor stories;
  • Coordinate internal and external meetings.

Operations and Systems Management:

  • Provide ongoing data entry and maintenance of CRM database to keep donor information current and accurate, according to Departmental standards;
  • Liaise with Business Operations personnel to ensure gift coding and receipting is conducted properly and in a timely fashion;
  • Support preparation and review of donor data for communications and listings;
  • Identify opportunities to improve data entry processes and tracking.

Perform other duties as required:

  • Attend and assist at events as required;
  • Organize social activities for team;
  • Provide support to colleagues from other teams as required.

Qualifications

  • Completion of a university or college program, certification, or equivalent practical involvement in fields such as Business Administration, Social Sciences, Project Management, or related areas;
  • Two (2) years related experience in an Administrative or Coordinator role
  • Computer literacy: Microsoft Office (Word, Excel and PowerPoint), database software/ spreadsheet programs; familiarity and aptitude with the Blackbaud CRM donor database is a significant asset;
  • Evidence of initiative, diplomacy and curiosity;
  • Demonstrated project management skills and ability to manage multiple projects over varying timelines;
  • Experience working in a complex healthcare or not-for-profit environment an asset;
  • Commitment to making a meaningful contribution to cancer care and research as part of a team;
  • Deadline and results oriented, with excellent attention to detail and accuracy;
  • Exceptional relationship-building skills;
  • Exceptional written and oral communications skills;
  • Strong organizational, time management and analytical skills.
