Job Description

As an Event/Special Project Manager, you will be responsible for organizing and overseeing a variety of events including symposiums, conferences, and both in-person and virtual gatherings. Your role involves managing projects from conception to completion, handling budgets, negotiating pricing, liaising with vendors, traveling to events, and ensuring successful event execution. Special projects to support Academics, Expansion, and assignments will also be part of your role, requiring flexibility and adaptability.

The employee in this position uses discretion and independent judgement in performing the following duties:

  • Manage, plan, organize and execute corporate events such as symposiums, conferences, in-person and virtual gatherings, ensuring seamless execution.
  • Manage special projects and assignments delegated by the organization, demonstrating excellent project coordination skills.
  • Develop comprehensive project plans, including budgets, to guide event processes and expenditures.
  • Coordinate and lead project meetings, actively engaging with team members and stakeholders to achieve event objectives.
  • Obtain quotes and negotiate pricing with vendors to maximize cost-efficiency and quality of services.
  • Travel to events to provide on-site support and ensure smooth event operations, as needed.
  • Coordinate event logistics, including venue selection, catering, audio-visual requirements, and transportation, ensuring a seamless and enjoyable experience for attendees.
  • Collaborate with marketing teams to promote events and increase attendance, utilizing various channels and strategies to reach target audiences.
  • Develop and maintain relationships with key stakeholders, sponsors, and partners to enhance event partnerships and secure resources.
  • Oversee post-event evaluations and feedback processes to gather insights and make recommendations for improving future events.
  • Manage event databases and documentation, maintaining accurate records and files for reference and reporting purposes.
  • Stay updated on industry trends and best practices in event planning to continually enhance event strategies and approaches.
  • Address any unexpected challenges or emergencies during events, implementing quick and effective solutions to maintain event success.
  • Collaborate with cross-functional teams, including finance and legal, to ensure compliance with internal policies and procedures.
  • Performs other related work as required to maintain efficiency within the department, including, but not limited to, responding promptly to the needs of the Team.
  • Other duties as assigned to support the needs of the department.

Pay Starting at $65k

Qualifications

  • 2 to 3 years of corporate event planning experience for groups ranging from 50 to 200 attendees.
  • Project management, coordination and budget development experience are essential.
  • Some college education is preferred for this role.
  • Ability to communicate effectively in writing and verbally.
  • Ability to exercise independent judgement and initiative in carrying out assignments.
  • Ability to plan, organize, and coordinate work activities to meet strict deadlines.
  • Ability to concentrate, pay great attention to detail, and maintain a pre-approved work schedule.
  • Ability to work independently and establish and maintain dependable, effective working relationships with others.
  • Knowledge and high proficiency of Microsoft Office software.
  • Knowledge and high level of proficiency in using Windows-based computers.
