Summary Of Position
The Operations Manager handles all aspects of operations including order processing, inventory management and control, business planning, branch office and equipment logistics, yard operations and administration of the daily operations of the Operations Department. He/she reports directly to the Branch/Area Manager and functionally reports to the Head of Operations, Doka USA.
Responsibilities
- Full responsibility for all aspects of the branch operations.
- Manages all Operations staff including, Yard Manager, Logistics, Yard staff, Customer Service Representative(s), Demand Planner and Truck Drivers as applicable.
- Manages human resources and staff development for all Operations employees in the branch in coordination with the Branch/Area Manager and National HR.
- Ensures that the procurement of goods and services is coordinated with the Controller/CFO and Head of Procurement for the respective areas of responsibility within the signing authority limits and in compliance with the procurement guidelines.
- Checks operational feasibility of contracts with customers and customer purchase orders.
- Partners with sales and engineering staff to manage and handle customer orders and projects.
- Ensures that the inventory levels are properly maintained by continually tracking and monitoring the inventory using the in-house order processing system.
- Oversees orders placed to other branches and external vendors according to current and future material needs.
- Oversees material requests to determine appropriate product utilization ensuring compliance to the company product strategy.
- Guarantees both the ability to supply customer orders and an optimum equipment non-utilization rate at all times.
- Organizes and monitors the physical inventory counts.
- Oversees inventory quality, insures accurate quality control and compliance with Doka quality standards.
- Ensures that returns of rental material are processed according to company standards.
- Oversees, coordinates and monitors all pre-assembly work.
- Reviews freight costs to monitor cost effectiveness.
- Responsible for initiating the credit management process for new customers including but not limited to insuring customers do not exceed their credit limits and comply with payment agreements.
- Ensures timely and accurate billing of all product sales, rental contracts and services.
- Handles, resolves and addresses complaint management for all Operations related customer complaints.
- Creates, generates and distributes a large volume of spreadsheets and reports.
- Reviews internal procedures, recommends process improvements and insures compliance to existing Doka corporate processes and standards.
- Manages the payroll process for Branch Operations employees in coordination with Corporate HR.
- Ensures compliance with the branch’s fixed cost plans.
- Organizes proper maintenance of all branch facilities and fixed assets.
- Partners with the Safety Manager and/or Head of Operations, VP of Engineering, CFO and Human Resources regarding all safety concerns/work related injuries.
- Ensures all operations are Doka and OSHA compliant.
- Ensures that required safety training is conducted on an ongoing basis.
- Conducts weekly Branch Operations meetings to coordinate with sales, engineering and CSR’s.
Other Responsibilities/Peripheral Functions
- Travel as required.
- Other duties/projects as assigned; including participating in company committees/teams.
- Assists in ensuring safe working practices and a safe working environment.
- Complies with all corporate policies and business practices.
Qualifications
- Bachelor’s Degree in Business required, concentration in Finance, Controlling or Logistics preferred.
- Recent management experience in administration, operations or logistics.
- Facilitates projects and effectively manages multiple tasks.
- Excellent communication skills including an excellent command of English (speaking, reading, writing).
- Qualitative abilities including strong analytical skills, technical proficiency and effective problem solving skills.
- Proficient using Microsoft Office applications; advanced Excel required.
- Willing and able to learn new computer systems, products, concepts and techniques.
- Possesses strong leadership skills, effectively manages a diverse team and achieves results
- Able to work as an organized team player in a results-driven, fast-paced environment.
