Job Description
- Support project planning, scheduling, and execution activities by coordinating inputs from project teams and stakeholders.
- Organize and facilitate project meetings, including preparation of agendas and documentation of accurate meeting minutes.
- Track project action items and ensure timely follow-up and closure of tasks.
- Coordinate communication between internal teams, clients, contractors, and consultants.
Monitoring & Reporting
- Maintain project trackers, schedules, and reporting tools to monitor progress and performance.
- Prepare and provide project reports, dashboards, and presentations to stakeholders.
- Support the preparation of progress updates, status reports, and performance summaries.
- Assist in tracking deliverables, timelines, and project milestones.
Stakeholder Management
- Coordinate with internal and external stakeholders to ensure effective communication and alignment on project activities.
- Support the flow of information between teams to ensure transparency and timely updates.
- Ensure that stakeholder requirements and requests are communicated and addressed appropriately.
Governance & Systems
- Maintain project documentation, filing systems, and records in accordance with project and organizational standards.
- Ensure compliance with governance processes, reporting requirements, and documentation standards.
- Support implementation and maintenance of project management tools and systems.
Risk & Issue Tracking
- Maintain and update project risk and issue registers.
- Track mitigation actions and provide status updates to stakeholders.
- Support identification and documentation of project risks and issues.
Qualifications
- Bachelor’s degree in Engineering, Project Management, Business Administration, or a related discipline.
- Engineering background is preferred, with knowledge or exposure to engineering, construction, MEP, or infrastructure projects.
- Minimum 2–4 years of experience in project coordination, administration, or support roles.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Proficiency in Microsoft Office applications and familiarity with project management tools.
- Good understanding of project lifecycle, documentation requirements, and reporting processes.
- Strong communication and interpersonal skills with the ability to coordinate across stakeholders.
- Ability to work effectively in fast-paced environments and meet deadlines.
