Job Description
As Business Operations Assistant, you will play a key role in maintaining efficient day-to-day operations while supporting business continuity and operational excellence. You will work closely with leadership teams, employees, external vendors, and service providers, providing practical hands-on support across a broad range of business functions.

Key Responsibilities
Business Operations
- Ensure the smooth day-to-day running of office operations.
- Coordinate suppliers, vendors, and office service providers.
- Oversee document management and circulation processes.
- Organise team meetings, prepare minutes, and track action items.
- Maintain office standards, including meeting rooms, supplies, and facilities.
- Develop and maintain office procedures and policies, including visitor management, archives, GDPR compliance, and clean desk practices.
- Manage office phone line administration where applicable.
Business Development & Marketing Support
- Support implementation of Turner & Townsend's bidding and proposal processes.
- Assist with presentation preparation and business development activities.
- Contribute to the development of local capability statements and marketing materials.
- Support attendance and coordination of industry events, conferences, and networking activities.
Travel & Supplier Coordination
- Act as a liaison with travel providers and agencies when required.
- Coordinate travel arrangements in line with company policies.
- Support employees with travel-related administration and guidance.
Executive & Event Support
- Support the Managing Director and leadership team with meetings, workshops, offsites, town halls, and team events.
- Coordinate event logistics including venues, catering, equipment, communications, and materials.
- Manage relationships with external event providers and agencies.
- Assist with event budgeting, administration, and settlement processes.
Finance & Administration Support
- Manage invoice processing workflows, approvals, and submissions.
- Monitor operational expenditure and ensure cost compliance.
- Support employee expense claims and travel reimbursements.
- Maintain accurate contract and supplier documentation.
- Coordinate client and supplier onboarding activities.
- Track office operational costs and maintain related records.
Health, Safety & Environment (HSE)
- Coordinate HSE activities in partnership with management and external providers.
- Arrange required health and safety training, inspections, and compliance activities.
- Ensure appropriate PPE and safety equipment provision.
- Maintain HSE records and documentation.
- Support environmental and sustainability monitoring, including waste management and office ESG metrics.
HR & Employee Support
- Assist with onboarding new employees.
- Help employees understand key processes, including travel, expenses, and operational policies.
- Support activities that contribute to a positive employee experience.
Qualifications
Required Experience
- Minimum 3-4 years of experience in business operations, business support, HR administration, finance operations or a similar coordination role
- Experience working with external vendors and service providers (e.g. facility management, travel agencies, accounting firms)
- Exposure to HR and finance operational processes, such as onboarding/offboarding, expense reimbursements, invoice workflows, and document handling
- Experience supporting multiple stakeholders, teams, or locations is highly desirable
- Prior regional or multi-country support experience (CEE or similar environments) is a strong advantage.

- Fluent Czech and English (spoken and written)
