Job Description

We are looking for an experienced Team Administrator to support our Infrastructure senior leadership team and partners. 

Job Description

Key day-to-day activities will include the following, but not limited to: 

  • Acting as a central “go-to” contact for the SLT and Partners
  • Complex diary and inbox management across multiple senior stakeholders
  • Coordinating governance forums (SLT meetings), including materials and logistics
  • Managing senior stakeholder and client relationships
  • Prioritising competing leadership demands and making judgement calls on urgency
  • Ensuring follow-up and accountability on leadership actions
  • Oversight of service quality and admin delivery standards
  • Supporting sensitive or confidential matters with discretion
  • Providing ad hoc support requiring judgement and problem-solving
  • Tracking and managing actions from leadership meetings
  • Planning and delivering events and programmes
  • Managing team communications, including monthly updates and large distribution lists
  • Supporting finance processes (expense validation, approvals, compliance checks)
  • Coordinating multi-stakeholder meetings and logistics
  • Managing and triaging shared requests and coordination activities 
  • Produce, format and amend CVs, minutes, letters, reports, presentations and any other documents as requested 
  • Photocopying, printing, binding, and scanning documents as requested 
  • Providing day-to-day assistance to the Business Assistants as necessary to contribute to the smooth running of the team 
  • Booking meetings & meeting rooms as requested including internal events, external events and catering requests 

Qualifications

Essential Experience: 

  • Proven experience in complex diary management
  • Excellent written and verbal communication skills  
  • Pro-active and approachable – well organised, innovative and a strong communicator 
  • Ability to work under pressure, to deadlines, manage multiple tasks and ability to prioritise  
  • Proficient in Microsoft Word, Excel and PowerPoint. 
  • Knowledge of construction and/or professional services industry  
  • The ability to learn new procedures quickly and liaise with clients and staff on many different levels 
  • The role holder must have experience taking responsibility for managing their work and working with minimal supervision to achieve the outcomes required for the team  
  • Customer service / client facing skills
  • Experience of dealing with confidential material  
  • Experience of supporting event organisation 
  • Experience of basic finance administration/system e.g.: invoicing, purchase ledger.

  • Experience working in Dynamics365  
  • Egencia
