Job Description
We are seeking a Project Administrator to join a highly successful team working as part of a joint venture. We are looking for a high calibre candidate with extensive experience in a similar role who can build strong networks, be responsible for providing high quality general administrative support to the team to implement and maintain an efficient and effective administrative function. This is an exciting role with lots of opportunities to get involved in.
Please note there is no opportunity to work from home due to the nature of the role.
Key day-to-day activities will include the following, but not limited to:
- Team administration support to the Project Leadership Team.
- Providing day-to-day assistance to team members as necessary to contribute to the smooth running of the team.
- Work with client senior leaders support and assistants.
- Deal with queries on the phone, Teams, e-mails and in person from the team.
- Manage diaries of the senior leadership team.
- Organise (arrange and book) internal and external meetings, attending as required to record minutes and actions.
- Prepare and update meeting action notes.
- Supporting knowledge management / document control.
- Event organisation, and other associated activities.
- Produce, format, and amend CVs, minutes, letters, reports, presentations, and any other documents as requested.
- Keep all team documents up to date (distribution lists, organisational charts etc.)
- Manage travel & accommodation bookings for the team.
- Prepare and submit expense claims for the senior leadership team.
- Point of contact for new starters into the team & assist with onboarding.
- Entering purchase orders into finance systems.
- Photocopying, printing, binding, laminating, and scanning documents as requested.
Qualifications
Experience - Essential
- Previous Team Administrator/Team Secretary/Project Administrator experience looking after a large and busy team.
- Excellent written and verbal communication skills.
- Experience of dealing with complex diary management.
- Pro-active and approachable – well organised, innovative and a strong communicator.
- Ability to work under pressure, to deadlines, manage multiple tasks and ability to prioritise.
- Proficient in Microsoft Outlook, Teams, Word, Excel and PowerPoint.
- Learn new procedures quickly.
- Liaise with clients and staff on many different levels.
- Taking responsibility for managing their work and working with minimal supervision to achieve the outcomes required for the team.
- Customer service / client facing skills.
- Dealing with confidential material.
Experience – Desirable
- Knowledge of construction and/or professional services industry.
- Experience of supporting event organisation.
- Experience of basic finance administration/system e.g., invoicing, purchase ledger.
