Company Description

As Operations Assistant, you will support the Cost Center leads for Project and Cost Management to organise and manage the People and Finance operational activity for the Team.

The Health, Science and Education teams in London are made up of 45 Project Managers and 35 Cost Managers. 

Together you will be the conduit between central HR and Finance functions, the London CM HR & Finance teams, and the Team itself. This is a busy and varied role which requires a keen eye for detail, excellent organisational ability and a flexible ‘can-do’ attitude. A high standard of written and verbal communication skills are important, as are first class interpersonal skills. Knowledge of SOX compliance/experience would be beneficial but not essential.  

Working hours will be 37.5 hours each week. Some flexibility would be beneficial when required by deadlines, meetings and events and in-office presence is required the majority of the time.

Job Description

  • Responding to requests from Finance and HR
  • Maintenance of Dynamics D365 software in respect of project administration and monthly invoicing. Ensuring SOX compliance and supporting the commissions finance team with reporting and operational tasks.
  • Oversight and maintenance of Commission Execution Plans – support set up with new commissions and providing assistance to commission managers
  • Support with preparation for monthly finance reviews with Cost Centre Directors and central finance teams
  • Ensure routine monthly People activities are undertaken and completed in an organized and timely manner
  • Assist in organization of recruitment and L&D requirements and activity
  • Help organize Team events and social activities where appropriate
  • Help set up for meetings, booking in visitors, organizing training sessions, Team Meetings Coordination
  • Booking Travel/Hotel Reservations as required
  • Handling incoming and outgoing correspondence, drafting and editing documents/reports as needed
  • Ensuring timely completion and administration of timesheets/expenses management, Accreditations and Certificates

Experience

Suitable candidates will ideally have some experience of working for a SOX compliant organization delivering the responsibilities outlined above.

Qualifications

Technical Requirements 

Competency using Microsoft Dynamics D365, Excel, Word, PowerPoint

Qualifications

  • Proactive and approachable, well-organised, innovative and a strong communicator.
  • Strong experience in supporting and influencing business (operational, finance and governance) processes through stakeholder management and leadership.
  • High attention to detail and proactive approach to problem solving.
  • Confidence in communicating with cost center leads
  • High level of proven confidentiality and security awareness.
