Job Description

We have an exciting opportunity to join a growing team within our Real Estate sector. As the Operations Assistant you will be managing the operational reporting, compliance and auditing requirements for the business unit along with supporting finance teams, the real estate commissions, including resourcing.

A high level of confidentiality is required for this role. An ability to anticipate requirements, along with a proactive approach with keen problem solving and clear communication skills are a must. The successful candidate will be able to demonstrate their ability to work in a team and with multiple high-level clients and internal stakeholders. The candidate will need to manage their own and others’, time effectively to complete tasks to a consistently high standard and to deadlines. The role will suit a high calibre individual who is looking for a varied and challenging role.  

Working hours will be 37.5 hours each week. Some flexibility would be beneficial when required by deadlines, meetings and events and on in office presence is required the majority of the time.

The main duties are:

  • Supporting resourcing requirements and coordination for developer commissions – working closely with commission managers across multiple Joint Ventures and key client accounts to ensure resilience, early engagement and coordination of on/off boarding.
  • Oversight and maintenance of Commission Execution Plans – support set up with new commissions and provide assistance to commission managers.
  • Managing Real Estate business unit audits; internal & Director audits; and ISO preparation and compliance.
  • Ensuring SOX compliance and supporting the commissions finance team with reporting and operational tasks.
  • Managing Dynamics365 operational tasks to include: report running (missing timesheets, utilisation, expenses) for cost centre leads and regional leads, assign resources to job numbers, timesheet input for extended absences.
  • Ensuring best practice for timesheet and expenses input and being point of contact for queries, including chasing missing timesheets.
  • Assuring and supporting BAU operations regarding the BMS. Providing training and guidance to colleagues where needed.
    • Auditing processes regularly to ensure compliance and communicating areas of best practice or non-compliance.
  • Providing reports on Client Care and overdue reporting.
  • Assist commissions to request.
  • Providing reports on Contracts Database and processing tasks through Risk Management.
  • Manage and ensure compliance with Mandatory Training.
  • Ad hoc requests for support from the real estate leadership team.

 

Qualifications

  • Proactive and approachable, well organised, innovative and a strong communicator.
  • Strong experience in supporting and influencing business (operational, finance and governance) processes through stakeholder management and leadership.
  • High attention to detail and proactive approach to problem solving.
  • Confidence in communicating with high level clients and stakeholders.
  • High level of proven confidentiality and security awareness.
