Job Description
In collaboration with the Chief Pilot, the Administrative Assistant provides high-level administrative support to the Flight Operations Administration team. The role ensures smooth communication, efficient document management, and optimal administrative operations supporting pilot-related activities.
Responsibilities
- Support the Chief Pilot, Base Chiefs, and Technical Chief Pilot with administrative tasks and communications.
- Manage and prioritize shared team inboxes.
- Prepare, take, and distribute meeting minutes.
- Oversee document management and maintain up-to-date internal procedures.
- Collaborate with the administration team on all matters related to pilots.
- Manage access to internal systems and ensure proper follow-ups.
- Draft, review, and translate documents (French/English).
- Recommend and improve work processes to enhance team efficiency.
Qualifications
- College diploma (DEC) in office administration or equivalent.
- 3 to 5 years of experience in an administrative support role, ideally supporting leadership or in a complex environment (aviation is an asset).
- Strong organizational skills and ability to manage priorities effectively.
- Excellent written communication skills with strong attention to detail (writing, editing, translation).
- Team player with autonomy, initiative, and strong customer service orientation.
- Experience in document management and process improvement (asset).
- Excellent proficiency in MS Office tools (Word, Excel, Outlook, Teams) and demonstrated ease with collaborative digital tools and AI (e.g., Copilot). Ability to quickly learn and adapt to new technologies.
- Oral and written fluency in French and English *
A good knowledge of French is required for positions in Quebec. The incumbent will be required to communicate and collaborate frequently in English, both orally and in writing, with colleagues, customers, and other stakeholders in Quebec, the rest of Canada, and internationally.
