Job Description
The Executive Assistant will support senior leaders with a variety of advanced and complex administrative and business support activities. Serves as a professional liaison between senior leaders, their team, internal and external customers. Serves as the onsite administrative support for a fast paced corporate office with numerous customer visits. Requires knowledge of company operations, policies, and procedures. Handles information that may be confidential and critical in nature. Exercises independent judgment to resolve non-routine complex problems. Must exhibit a high level of discretion and professionalism in managing the visitor experience.
Qualifications
- Provides high-level administrative support in preparation of meeting, reports, memos, letters, statements and other documents.
- Manages and positive and welcoming visitor experience (customers, suppliers, affiliates, employees, etc.).
- Plans and maintains customer visit calendar and ensures all hosts/visitors are adequately supported for on-site visits.
- Conducts necessary security protocol to pre-qualify visitors.
- Manages meeting coordination to include room coordination, ordering meals, greeting visitors, etc.
- Maintains the executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Prepares and files corporate documents and reports in a timely manner.
- Handles incoming communications which may include visitor request forms; maintains required security and other logs as assigned.
- Assists with coordination of company events as assigned.
- Works directly with functional teams to support a variety of internal departmental business requirements and administrative tasks.
- Complies with company health, safety, and environmental policies.
- Complies with all applicable U.S. export control and security regulations.
- Performs other duties as assigned.

- Computer Proficiency in MS Office (Word, Excel, PowerPoint, MS Teams, and Outlook) and related office applications and software.
- Ability to work independently or within a team on special projects and occasionally as the project lead.
- Ability to maintains confidence and discretion in the handling of sensitive information.
- Ability to organize, track, and convey information in clear and concise methods.
- Ability to establish and maintain productive working relationships all stakeholders.
- Ability to communicate professionally in writing and verbally.
- Ability to be flexible and able to quickly adapt to the dynamic and evolving operating environment.
- Able to exercise sound judgment in making business decisions.
- Attentive to details.
Education/Experience:
- High School Diploma or equivalent. Advance degree is desired
- 5+ years of relevant executive level administrative support
- US Person (Citizen or Permanent Resident)
