Job Description

POSITION PURPOSE: 

Working closely with the Finance Manager, you'll provide a complete, correct, and continuously updated stream of financial figures that will serve as the foundation for management's decisions. You will ensure that all financial reports submitted to local management, the regional office, and headquarters are complete, accurate, and timely. In this role, you'll also support the Finance Manager across multiple functions, including Accounting, Finance, and Supply Chain. Additionally, you'll offer ad-hoc administrative and IT support as needed. A key part of your responsibility will be to manage all inbound accounting and finance-related inquiries, offering proactive problem-solving to stakeholders.

PRINCIPAL ACCOUNTABILITIES:

  • Manage full set of accounts, payments, employee claims reimbursement and invoicing.
  • Respond to financial inquiries by gathering, analyzing, summarizing, and interpreting data.
  • Provide financial advice by studying operational issues; applying financial principles and practices; developing recommendations.
  • Prepare special reports by studying variances; preparing budgets; developing forecasts.
  • Update job knowledge by keeping abreast with financial regulations and accepted practices; participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
  • Accomplish finance and organization missions by completing related results as needed.
  • Verify that all accounting related departments follow company protocol
  • Present accounting issues and results to senior management.
  • Use accounting software, reporting and budgeting tools to create spreadsheets and reports.
  • Report financial and managerial indicators internally and inform decision making items.
  • Prepare monthly statements by collecting data; analyzing and investigating variances; summarizing data, information, and trends.
  • Comply with state and federal tax filing requirements by studying regulations; adhering to requirements; advising management on required actions.
  • Liaison with auditor, tax agent, company secretary, government regulators (Customs, IRB, etc) as well as bankers and coordinate internal stakeholders (local, regional, headquarter) to accomplish objectives and requirements.
  • Manage documentation of procedures and assist in improving existing processes and internal controls.
  • Maintains accounting controls by preparing and recommending policies and procedures.
  • Handle in-bound inquiries on Accounting/Finance related implemented systems, controls and processes as well as perform problem solving for stakeholders.
  • Manage inventory reconciliation for month end and year end closing and liaison with external warehouse distributor, supply chain department and auditor to resolve discrepancies and inquiries.
  • Provide technical guidance and support junior executive to achieve operation efficiency in terms of filing and organization, AR and AP control, as well as account reconciliation for month end closing.
  • Draft summary reports to highlight key issues to senior management.
  • Assist in business simulations to support business decisions.
  • Assures protection for the assets of the business through internal control.
  • Consult, together with the Finance Manager and with all segments of the management responsible for policy or action concerning any phase of the operation of the business as it relates to the attainment of objectives and the effectiveness of policies, organizational structure and procedures.
  • Assist in Supply Chain planning and Logistics process with good communication and interpersonal skills having the ability to work under pressure and meet deadlines.
  • Assist business administration and information technology on ad-hoc, need to basis.
  • Ad-hoc tasks as and when required.

Qualifications

  • Possess at least a Professional Certificate, Advance/Higher/Graduate Diploma, Degree in Business Studies/Administration/Finance/Accountancy.
  • Minimum of 4 years of experience in Finance and Accounting field.
  • Solid business acumen skills with strong finance and accounting background.
  • Meticulous and results-driven.
  • Self-motivated, creative and well-organized.
  • Good understanding and skill in Microsoft Office (Excel, Word, Power Point). Advance Excel skill such as pivot tables is a plus.
  • Good communication skills – written and oral.
  • Ability to prioritize work with good problem solving skills.
  • Proficiency in ERP systems a plus.
  • Able to work under pressure and within limited timeframe
