Job Description
The Administration Clerk is responsible for creating a positive first impression, exhibiting excellent customer service, and promoting a pleasing experience when greeting and assisting Salud employees, patients, and visitors. Approaches his/her tasks in a team-based care fashion that supports patients and their families in self-management, self-efficacy, and behavior change.

Specific Duties:
Serves as a greeter, front desk receptionist, and clerical coordinator for the administration building and staff by providing various clerical tasks, including:
- Printing, scanning, and/or laminating documents
- Courier requests between clinic locations
- Schedules conference rooms
- Typing documents and/or preparing packets for meetings
- Mailings or other special projects
- Orders and picks up food for meetings
- Orders office supplies
- Answers the Administration Building's main telephone line and directs to the appropriate staff or responds with direction when applicable/appropriate
- Assists the Sr. Executive Assistant with Board of Directors clerical tasks
- Sorts incoming mail and faxes; processes outgoing mail and takes packages to the post office as needed
- May assist with the management of Executive Team Members' calendars
- Cleans and maintains supplies of all conference rooms, mailroom, reception area, and small workroom; prepares coffee on a daily basis
- Assists the Finance Department with entering checks received from insurance companies, vendors, outside agencies, and patients, and scans checks for deposit
- Completes incident reports for complaint calls and facility work orders for the Administration Office
- Maintains all printers and copiers; calls for service and orders supplies
- Provides coverage to the Purchasing Department by accepting packages when staff is away from the office
- Creates and maintains the Administration Building extension list, Dental provider roster, Medical provider roster, Leadership roster, and Emergency call tree
- Assists with maintaining the Reach Out read program
- Works in conjunction with Medical Providers, Medical Assistants, Enrollment Specialists, Customer Service Associate and all other staff to ensure that patients obtain the highest standard of integrated health care
- Acts as a patient advocate for our vulnerable populations by ensuring that patients are fully informed and comfortable with their visit to Salud
- Follows procedures for the electronic health records system
- Follows all protocols and procedures pertaining to patient confidentiality
- Maintains current knowledge and skills of all computer programs used on-site
- Attends work on time; acts and appears professional
- Performs other duties as assigned
Salud is required to have coverage at the front desk at all times from 8 a.m. to 5 p.m. including days were there is inclement weather, and other staff are able to take advantage of working from home or taking a vacation day.
Qualifications
Education:
- Graduation from an accredited high school or GED is required
Experience:
- One year of front desk/customer service experience preferred
- Willingness to become an expert in all aspects of office management and office machines
Knowledge, Skills, and Abilities:
- Fluency in English required. Spanish preferred
- Excellent customer service skills
- Critical thinking and problem-solving skills
- Ability to communicate clearly and appropriately with others
- Professionalism, demeanor, and positive attitude
- Ability to learn and implement complex policies and procedures
- Reading comprehension, good writing skills, and proficiency in elementary math
