Job Description

OVERVIEW 

As the Office Manager for our new NYC location, you will play a critical role in both launching and sustaining a brand-new office in a key global market. You’ll bring Amer Sports workplace standards to life locally while ensuring the office operates seamlessly as it grows. 

You will lead the setup, activation, and ongoing management of the workplace, implementing established practices, adapting them to the NYC environment, and delivering a consistent, high-quality experience for employees and visitors. As the office scales, you will create an environment that reflects Salomon’s brand and values. 

Working closely with People & Culture, Facilities, IT, Brand Marketing, and external partners, you’ll act as a central connector across people, process, and place, removing operational burden so teams can focus on growth and market impact. This is more than office management, you will help shape culture, build a flagship presence, and enable long-term success in NYC.

ESSENTIAL DUTIES & RESPONSIBILITIES 

To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily: 

Office Launch & Workplace Implementation 

  • Lead the end-to-end launch of the NYC office, including vendor coordination, space activation, and operational readiness 
  • Implement and localize existing Amer Sports policies, standards, and ways of working to fit the NYC environment 
  • Partner with global and regional teams to ensure alignment with established processes while adapting to local needs 
  • Set up systems for access control, security, space usage, and workplace norms 
  • Ensure the office delivers a consistent, professional, and brand-aligned experience from day one 

Facilities & Office Operations 

  • Own and continuously improve day-to-day office operations, ensuring the space runs efficiently and smoothly 
  • Manage vendors (cleaning, maintenance, supplies, services) with a focus on quality, cost control, and reliability 
  • Oversee office access, badging, and visitor protocols 
  • Maintain shared spaces, kitchen areas, and workplace standards aligned with brand expectations 

Workplace Experience & Culture 

  • Design and support programming that strengthens engagement, retention, and connection 
  • Coordinate celebrations, milestone recognition (birthdays, anniversaries), and team events 
  • Maintain a workplace environment that reflects Salomon’s brand, energy, and culture 

Visitor & Candidate Experience 

  • Serve as the face of the NYC office, creating a welcoming, best-in-class experience for all visitors 
  • Manage travel logistics, hotel partnerships, and on-site coordination for candidates and guests 
  • Ensure every interaction reflects a strong and consistent brand experience 

New Hire Onboarding Support 

  • Partner with hiring managers and People & Culture to deliver seamless onboarding 
  • Coordinate workspace setup, IT readiness, welcome materials, and first-day experience 
  • Send new hire announcements and help integrate new employees into the office environment 

Mailroom & Supplies Management 

  • Process and distribute incoming/outgoing mail and packages daily 
  • Manage shipping logistics with USPS, UPS, and FedEx 
  • Maintain inventory and ordering of office supplies 

Benefits Administration Support 

  • Support gym and wellness benefit administration, including vendor coordination and tracking usage 
  • Partner with Payroll and external vendors to ensure smooth execution 

Qualifications

QUALIFICATIONS, SKILLS, ABILITIES & COMPETENCIES 

  • 3+ years of experience in office management, workplace operations, or administrative roles 
  • Proven ability to implement and operationalize existing processes in a new or growing environment 
  • Exceptional organizational, multitasking, and time management skills with strong attention to detail 
  • Strong relationship-building skills across internal teams and external vendors 
  • Ability to work independently with a high level of ownership and accountability 
  • Highly proficient with Microsoft Teams, Outlook, Excel, and general office tools 
  • Comfortable navigating ambiguity with a proactive, can-do mindset 

Preferred:

  • Experience supporting office launches, expansions, or new market entry 
  • Background in People & Culture, HR, or a high-growth or brand-driven environment 
  • Vendor management or contract negotiation experience 
  • Exposure to employee engagement, wellness, or workplace experience programming

Salary Range: 
At the time of this posting, the estimated base salary range in New York is $100,000 – $110,000 USD. Actual compensation will be based on a variety of factors, including geographic location, job-specific skills, relevant experience, education, and training. The upper end of the range is typically reserved for candidates with demonstrated expertise that is above job requirements or who bring exceptional directly transferable experience. 

Please note that the mentioned pay range represents the base pay only and does not include our competitive bonus program and benefits package.
