Job Description
• Issue and prepare HR letters, including salary certificates, employment letters, experience letters, warning letters, PIP letters, and other employee-related letters in line with approved templates and internal requirements.
• Calculate and support Final Settlement and End of Service Benefits (EOSB), ensuring accuracy of service period, leave balances, deductions, benefits, and required approvals before submission to Finance.
• Analyze and monitor government HR portals related to employee services, including required updates, compliance actions, employee records, visa/Iqama-related transactions, and other government requirements as applicable.
• Create, update, and maintain HR Shared Services SOPs to standardize workflows, approval steps, document requirements, timelines, and responsibilities across HR transactions.
• Follow up with external agencies and service providers on a monthly basis, including payroll service providers, GR service providers, recruitment or manpower agencies, medical insurance providers, and other HR-related vendors.
• Coordinate monthly payroll and GR invoices by reviewing supporting documents, validating employee-related charges, clarifying discrepancies, and submitting approved invoices to Finance for payment processing.
• Coordinate employee contracts, contract renewals, amendments, and related documentation, ensuring records are accurate, complete, signed, and properly filed.
• Follow up with Finance on HR-related payments, including payroll-related invoices, agency invoices, employee reimbursements, settlement payments, and other approved HR payments.
• Prepare and maintain PIP letters, forms, trackers, and supporting documents required to improve employee performance, ensuring proper documentation, timelines, and follow-up with the concerned managers.
• Prepare HR announcements, internal communications, employee notices, and work-related updates in coordination with HR management and relevant stakeholders.
• Maintain and update the organization chart based on approved changes, new joiners, leavers, transfers, promotions, and reporting line updates.
• Prepare and coordinate employee news, HR updates, onboarding announcements, internal recognition content, and other employee communication items as required.
• Maintain accurate HR trackers, employee files, documentation logs, approval records, and shared service reports to ensure traceability, audit readiness, and compliance.
• Escalate missing documents, delayed approvals, portal issues, invoice discrepancies, policy deviations, or compliance concerns to the line manager for timely resolution.
Qualifications
• Bachelor’s degree in Human Resources, Business Administration, or a related field.
• Minimum 2–4 years of experience in HR shared services, HR operations, employee services, government relations support, payroll coordination, or administration.
• Good knowledge of HR letters, employee contracts, payroll support, EOSB/final settlement coordination, HR documentation, and employee file management.
• Ability to create SOPs, maintain trackers, follow up on pending actions, coordinate with external agencies, and manage multiple HR service requests accurately.
• Strong attention to detail when reviewing invoices, employee documents, government portal records, contracts, and payment requirements.
• Good communication skills in English; Arabic is an advantage for employee communication, government portal coordination, and external agency follow-up.
• Proficiency in Microsoft Excel, Outlook, Word, and record management tools; experience with HRIS, payroll systems, ERP, or government portals is preferred.
• High level of confidentiality, integrity, and compliance awareness when handling employee records, payroll data, HR letters, contracts, and sensitive HR matters.
