Job Description

We are seeking an organized and efficient Admin Assistant to join our team in George Town, Malaysia. The ideal candidate will provide crucial administrative support to ensure smooth office operations and contribute to the overall success of our organization.

  • Manage and maintain office filing systems, both physical and digital
  • Handle incoming and outgoing correspondence, including emails and phone calls
  • Schedule appointments and maintain calendars for executives and team members
  • Prepare and edit various documents, reports, and presentations
  • Perform data entry tasks and maintain accurate records
  • Assist with basic bookkeeping duties and expense reporting
  • Coordinate travel arrangements and prepare itineraries when necessary
  • Organize and schedule meetings, including preparation of agendas and minutes
  • Provide general office support, including ordering supplies and maintaining inventory
  • Greet visitors and provide excellent customer service to clients and stakeholders

Qualifications

  • High school diploma or equivalent required; Associate's degree in Business Administration or related field preferred
  • 1-3 years of administrative experience in a professional office environment
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Excellent written and verbal communication skills
  • Attention to detail and accuracy in data entry and document preparation
  • Basic bookkeeping knowledge and experience with expense reporting
  • Ability to maintain confidentiality and handle sensitive information professionally
  • Strong interpersonal skills and a customer-oriented approach
  • Fluency in English and Malay
  • Proactive problem-solving skills and ability to work independently
  • Flexibility to adapt to changing priorities and deadlines
