Job Description

About the Role: The Wireless Coordinator is responsible for supporting the Wireless Leasing Manager with a portfolio of approximately 900+ active cellular leases. This includes day-to-day support with property management tasks for all carrier inquiries and interactions.

Responsibilities:

  • Modification projects/paperwork - Communicate with carriers and vendors on Modifications to Cell site requests “MODs.” Gather MOD checklists and invoices from tower companies and site acquisition vendors, review, comment back to carriers, or submit for approval. Process MOD packages with Lease administration and Accounts Receivable department to ensure MOD fee checks are received and deposited. Track each MOD and manage critical dates and timelines associated with outstanding MOD amendments. Candidates will need to be able to read telecom drawings and understand the scope of work involved in a MOD request (training provided).
  • E-Builder - Manage an in-house database “eBuilder” to upload New Site designs for Architecture department’s approval, and facilities management. Coordinate any responses from these teams back to the Wireless Leasing Manager (WLM) for instructions on how to proceed.
  • Legal Portal – Support internal legal requests such as entity verification, track and monitor progress as this is a requirement prior to finalizing an amendment, renewal, or new Lease paperwork.
  • AR Department – Candidate will learn how to process incoming checks to properly identify for program allocation within our accounting system (Yardi). This is a support to the AR team representatives. Interact with PS real estate lease administration team to field questions on leases, lease fee payments, and communicate with carriers on any past due fees or missing payments. Work with the AR department on any outstanding issues having to do with unidentified checks, or account balances.
  • Property Access – Control facility property access with general contractors and on-site troubleshooting requests. Support day to day access for various telecom personnel, research scope of work details and manage approvals to enter the property.
  • NTP / Notice to Proceed - Coordinate construction notice to proceed “NTP” Applications, DECOM Apps, and misc. permit and LOA applications. Create NTP consent letters for the WLM to review and approve, send NTP consent letters back to the contractors as approval to commence construction. Track and monitor progress through completion. Retrieve Close out packages for post construction for QC purposes and upload all documentation into our Real Estate document portal.
  • Construction Walks – Organize and invite participants for various pre-construction walks with multiple parties, setting meeting makers and relaying any critical correspondence to appropriate individuals. This role is responsible for communications with carrier vendors on setting up field site walks, arrange for commencement times on MOD work, collecting all necessary paperwork from vendors to begin construction, notifying on-site managers and district managers on any site visits or construction activities.
  • Tracking/Excel – Coordinator responsible for tracking all activities via excel tracker and following up as necessary regarding timelines and completion of projects. Staying involved with all current Cell/Wireless construction work on our properties including staying in communication with our local onsite managers. 
  • Document Management – Responsible for uploading all executed Leasing paperwork such as MODs, Renewals, Green Sheets, New Leases, and various memos into our internal real estate data system (Docuware).
  • Property Management - Provide support for various inquiries from the carriers and internal PS Operations/Facilities. 

 

Qualifications

Qualifications:

  • Experience: 5+ years of experience in Telecom/Wireless
  • Proficiency with computer programs and spreadsheet software such as Outlook, Microsoft Excel, Microsoft Word, and Microsoft PowerPoint
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Capacity to manage multiple tasks simultaneously in an organized, efficient, and timely manner
  • Excellent organizational, time management and problem-solving skills
  • Self-starter, able to take initiative, and work well under pressure
  • Real Estate Coordination experience a plus
