The single corporate service is delivered across both organisations.  You may be based at either IWT or PHU and individuals may be required to undertake business travel between sites. For leaders managing staff across multi-site locations, you will need to be visible and provide in person leadership. The arrangements and frequency will be agreed locally.

The Workforce Information & Planning team plays a vital role in supporting leaders and services across Portsmouth Hospitals University NHS Trust and Isle of Wight NHS Trust by providing high-quality workforce information, analysis and insight. We are passionate about helping managers and clinicians make informed decisions that support our workforce and enable the best possible care for our patients.

We are looking for a motivated, analytical and enthusiastic individual to join our Workforce Information & Planning team as a Workforce Information Trainee Analyst. This is an exciting development opportunity for someone who has a keen interest in data, reporting and business intelligence and is looking to build a career in workforce analytics within the NHS.

The successful candidate will work closely with experienced Workforce Analysts, supporting the production of routine and ad hoc workforce information, delivering reporting solutions and helping to improve data quality across a range of workforce systems. We welcome applications from individuals with strong IT and analytical skills who are eager to learn and develop their expertise in workforce information, reporting tools and business intelligence systems.

Key Responsibilities

  • Support the production and delivery of workforce reports and analytics for managers, senior leaders and external stakeholders.
  • Run daily, weekly and monthly workforce reporting processes, ensuring information is accurate, timely and reliable.
  • Analyse workforce data, identify trends and highlight areas requiring further investigation or action.
  • Support the coordination and completion of workforce-related Freedom of Information (FOI) requests.
  • Monitor team mailboxes and respond to workforce information queries, escalating issues where appropriate.
  • Manage access to workforce reporting systems and dashboards, providing user support and training.
  • Assist in improving data quality by identifying anomalies, validating information and supporting corrective actions.
  • Develop knowledge of workforce systems, reporting tools and new technologies to support automation and service improvement.
  • Produce meaningful visualisations, reports and dashboards that support operational and strategic decision-making.
  • Deliver training and guidance to managers and service users on workforce dashboards and reporting functionality.
  • Contribute to the development of user guides, training materials and support resources.
  • Work collaboratively with colleagues across the People Directorate and wider organisation to promote the effective use of workforce information.

Qualifications

Essential

  • Educated to Diploma level or equivalent experience.

Experience

Essential

  • Advanced IT skills – Microsoft Word, Outlook, PowerPoint, and Excel to a high level including manipulation and present data in user friendly formats.
  • Ability to communicate effectively, verbally and in writing, to differing audiences, using negotiation skills
  • Ability to plan and manage time effectively
  • Strong attention to detail

Desirable

  • Advanced Excel knowledge including Power Query
  • An understanding of the NHS and various education and training needs of its staff
  • Power BI or equivalent software skills

Skills & Knowledge

Essential

  • Experience of manipulating and analysing data to create effective visual charts using Microsoft Excel and Business Intelligence Software
  • Experience of information governance and data protection
  • Experience creating and analysing surveys and responses.
  • Experience of training and developing others
  • Problem solving skills, able to trace a story back to the original problem.

Desirable

  • Previously worked within an NHS setting with knowledge of NHS processes and structures
  • Knowledge and experience of using ESR (Electronic Staff Record) and RLDatix Optima
  • Experience managing of junior staff and task delegation
