Working as a partnership, both Isle of Wight NHS Trust and Portsmouth Hospitals University NHS Trust have a shared vision for excellence in care for our patients and communities; with a set of strategic aims underpinning how we will achieve this. 

The single corporate service is delivered across both organisation.  You may be based at either IWT or PHU and individuals may be required to undertake business travel between sites. For leaders managing staff across multi-site locations, you will need to be visible and provide in person leadership. The arrangements and frequency will be agreed locally.

NHS Band 5 Salary: £32,073 - £39,043 per annum

Contract Type: Permanent

Hours Per Week:  Full Time 37.5

Location: Base location either St Mary's Hospital, Parkhurst Road, Newport, Isle of Wight,PO30 5TG, or Building 4000, Lakeside, North Harbour, Cosham, Portsmouth, PO6 3EN. Across site travel may be required, the frequency will be agreed locally

Job Summary

The Automation Analyst will support the delivery of intelligent automation and digital process improvement across both Trusts.

You will work with service leads, operational teams, automation developers, and wider digital colleagues to help identify, assess, and document automation opportunities. You will support process discovery, requirements gathering, process mapping, testing, benefits tracking, and the ongoing monitoring of automated solutions.

Working as part of a collaborative team, you will contribute to automation projects of varying complexity, helping to ensure that solutions are clearly understood, well documented, appropriately tested, and aligned to organisational and governance standards.

Key Responsibilities

  • Support the identification and assessment of automation and digital process improvement opportunities across both Trusts.
  • Work with service leads, operational teams, and stakeholders to understand current processes, challenges, risks, and expected outcomes.
  • Assist with the creation of process documentation, including process maps, requirements, process definition documents, test scenarios, and benefits information.
  • Collaborate with automation developers, senior developers, business analysts, and service leads to translate operational requirements into clear automation requirements.
  • Support user acceptance testing by preparing test scenarios, recording outcomes, and helping services understand expected automation behaviour.
  • Assist with the monitoring and reporting of automation performance, including exceptions, success rates, volumes, and benefits delivered.
  • Support the review of existing automations by analysing exceptions, identifying trends, and helping services resolve process-related issues.
  • Produce and maintain accurate documentation, project records, meeting notes, and process information in line with Trust standards.
  • Support users and colleagues in understanding and adopting automated solutions.
  • Ensure compliance with Information Governance, data protection, and cybersecurity requirements.
  • Contribute to process improvement, testing, and innovation activities within the automation team.
  • Participate in knowledge-sharing and skill-building across the wider digital team.

Qualifications

Essential:

  • Degree-level education or equivalent experience in Information Technology, Business Administration, Healthcare, Digital Transformation, or a related field.
  • Experience of working with operational processes, service improvement, business administration, digital systems, or project support.
  • Ability to gather, document, and communicate business requirements clearly.
  • Strong analytical skills with the ability to understand processes, identify issues, and suggest improvements.
  • Good written communication skills, with experience producing clear documentation, notes, reports, or process records.
  • Good communication and interpersonal skills, with the ability to work with stakeholders across different teams and levels.
  • Ability to prioritise workloads and meet agreed deadlines.
  • Good working knowledge of Microsoft 365 tools, including Outlook, Excel, Word, Teams, and SharePoint.
  • Attention to detail and the ability to work accurately with information, data, and documentation.
  • Willingness to learn and develop knowledge of Robotic Process Automation, Power Platform, and digital process improvement.

Desirable:

  • Awareness of Robotic Process Automation, Blue Prism, Power Automate, Power Apps, or other digital automation tools.
  • Experience of process mapping, workflow analysis, service improvement, or business analysis techniques.
  • Experience working within the NHS or other large public-sector organisations.
  • Experience supporting testing, user acceptance testing, or system implementation activity.
  • Familiarity with Agile or iterative delivery methodologies.
  • Basic understanding of Information Governance, data protection, and cybersecurity requirements
