Job Description

As a Recruitment Administrator, you are responsible for the onboarding and critical transition from "applicant" to "colleague."

Working across the Isle of Wight NHS Trust and Portsmouth Hospitals University NHS Trust, you will ensure that every new starter is compliant, supported, and ready to contribute to patient care. You will work strictly to NHS Employment Check Standards, ensuring that safety and quality are maintained before a candidate commences their employment.

The successful person will: 

  • Champion the Candidate Journey: Proactively manage the onboarding process for new starters, acting as the primary contact and ensuring they feel welcomed into the workforce from day one.
  • Rigorous Compliance: Undertake all essential pre-employment checks including Right to Work (RTW), DBS, references, professional qualifications and registrations.
  • Coordination: Liaise between the recruitment team and candidates to manage expectations, resolve delays, and agree on start dates.
  • Administrative Excellence: Maintain accurate electronic records across HR systems, ensuring all paperwork is processed promptly so that new employees are paid correctly and on time.
  • Collaborative Support: Work across the recruitment team to support colleagues during busy periods and contribute your voice to how the team evolves its processes.

Qualifications

This role requires a balance of high-level administrative accuracy and exceptional people skills. We are looking for:

  • Qualifications: NVQ Level 3 in Business Administration or equivalent.
  • Experience: Proven experience in a busy office environment, specifically handling complex systems and data entry.
  • Communication: The ability to handle sensitive information with tact and the resilience to deal with callers who may be distressed or under pressure.
  • Fluctuating Priorities: The ability to move between high-concentration tasks (data entry and auditing) and high-engagement tasks (handling urgent enquiries) without losing focus.
