Job Description

The System and Solutions Architect Manager is the subject matter expert in Infor M3 ERP System, he/she is responsible to review and enhance the work already undertaken and deliver consistency across the business entities in Gold Coin in methodology and reporting. He/She plays an important role in the software development cycle, gathering requirements and directing the activities of the rest of the design team (internal or external resources).

More specifically this role will not only have considerable experience in systems implementation but will also have a successful record in change management and delivery of systems and reporting to meet Gold Coin requirements for both today and to facilitate future growth.  It is important that the significant capabilities of, and information contained in the Gold Coin ERP system are identified and presented to encourage full utilization by and to the benefit of management and the Company. 

Existing processes and structures to be reviewed and standardized. Close interaction with Gold Coin Management/Department Heads will be essential to determine the formats and delivery of succinct and timely standardized reports throughout the organization. 

It is expected that the incumbent will have a clear focus on automation and elimination of manual intervention throughout the IT/ERP system and ensure the delivery of accurate reports both internal and where appropriate external statements. 

Speed and connectivity for all users across the network must be seamless and without delay. Similarly, related risk management in this area will be a high priority to ensure continuity and maintenance of services across the region.

Additionally, develop and implement Group IT strategies and operational standards according to business needs to be aligned with current and long-term business objectives. Contribute to business planning at the top executive level so that future IT challenges in the areas of ERP and consolidation requirements will be sufficiently flexible and robust to ensure the organizations’ IT strategy can deliver and be aligned with the business requirements and strategies. It is one of the key members of the Gold Coin Digital Transformation Project. 

Gather Functional Requirements from respective key stakeholders and users, to gain a complete sense of internal stakeholders’ expectations and limitations before undertaking a major development project. In this process, the incumbent will need to examine existing systems and programs to identify areas for improvement and integration. 

Develop Specifications, before developers can begin work on a project, the system and solution architect use his/her knowledge with the functional requirements and existing systems to develop project specifications. The incumbent may develop schedules and test plans, prepare documentation based on analyst reports, and assemble documents presenting project guidelines and milestones to team members. In this process, he/she may identify potential issues between systems and users' specifications and propose new solutions to work around these limitations. 

Determine Project Scope, the incumbent is also responsible for determining a project’s scope before develops/begin any major work. Extra research is conducted on Gold Coin's existing systems and configurations to determine whether added time and work are necessary to align the project with the enterprise-level system. He/She will communicate directly to the internal stakeholders, key users, and system developers.   

The System and Solution Architect is responsible for ensuring the specifications and requirements are clearly articulated to the development team, he will monitor the timelines and progress to ensure that the team members are adhering to these specifications. 

Manage External Vendors, he/she will work with outside vendors to develop and implement specific aspects of the software solutions. In this aspect, he/she will consider costs and timelines and ensure the vendors meet deadlines for deliverable and project elements. He/She may review proposals and estimates from the vendors and determine whether the quotation fits into existing budgetary and time restrictions and ensure that external solution work with internal development projects.   

Responsible for the successful development and implementation of the recommended information technologies and solutions, working with cross-functional, multi-project team resources to ensure solutions are delivered on-time and on budget according to defined scope, timeline and cost parameters while ensuring reliability, quality, and delivery meet or exceed business requirements

Review the performance of the existing system, i.e. Infor M3, d/EPM, Sunsystem and etc; develop cost-effective solutions to ensure benefits realization.   

Leads the IT project team through system development life-cycle (SDLC), ensuring project documentation completeness, and compliance of deliverables supports in rolling out standardized company-wide systems.

Determine the required outputs and deliver complete concise reports for the various divisions using Infor software.

Manage outsourced partners in order to deliver timely support services as per the Service Level Agreement (SLA). Review the Service Level Agreement (SLA) to ensure the scope and project deliverables are clearly defined.  

Monitor the helpdesk system and ensure incidents are resolved within Service Level Agreement (SLA). Provide a report on JIRA tickets generated, perform root cause analysis to resolve and provide long-time solutions.

Frequently conduct research on existing systems and devising solutions that work within those systems, work closely with the key stakeholders to demonstrate solutions, address questions regarding software capabilities and requirements, and work to resolve issues that arise during the development cycle. 

Develop Business Continuity Plans covering all sites. 

Establish and maintain a register of software and ensure that all software is correctly licensed.

Qualifications

Required: Bachelor’s Degree in Computer Science, Information Technology or equivalent.

Desirable: Microsoft certification, Network certification will be added advantage.

Ability to assess User Requirements and generate functional specifications.

Ability to analyze business processes and align with application functionality.

Experience in completing root cause analysis of systems/application issues.

Experience in Acceptance testing/QA of application releases, familiar with the Release and Deployment Management Process.

Minimum 5 years of hand-on experience in architecture and design experience on large enterprise with industrial/automation areas, preferably with the knowledge of Infor M3 and Infor BI (d/EPM). 

Minimum 3 years proven experience in change management and communications. 

Ability to visualise the bigger picture to encapsulate clear and concise reporting for today with the ability to easily adapt for a changing and developing environment and organisation structure for the future

Ability to address problems effectively and efficiently with necessary corrective actions to minimize interruption to projects. 

Able to handle the technical team and 3rd party vendors.

Hands-on experience in software development life-cycle (SDLC), project management, and outsourcing management.

Highly customer-focused and technically competent individual with problem-solving skills.

Strong analytical and presentation skills, ability to work independently and under pressure.

Strong software development background and able to understand technical aspects of the role.

A SME across multiple technologies and able to make recommendations based on his/her knowledge.

Excellent attention to detail, as the role needs to frequently examine functional specifications and translate them into system guidelines that share project development as well as find ways to align projects with enterprise-level systems.
