Job Description

This position is responsible for managing the creation, approval, distribution, revision, storage, and disposal of the various types of Company documentation to include, but not limited to, drawings, specifications, blueprints and procedures either in hard copy or electronic media.

Essential functions

  • Creates and maintains the currency of a master control list of documents to ensure that the current version of each document is easily identifiable and accessible to personnel whose activities are affected by the documentation.
  • Assist staff with document searches and/or research.
  • Scan business related documents and save to SharePoint ensuring that items are easily identified and searchable.
  • Ensures that all documentation, and subsequent revisions, is reviewed and approved by authorized persons.
  • Maintain documentation and records in a legible, dated, identifiable and orderly fashion.
  • Store the documentation and records in a manner that prevents damage, loss and deterioration.
  • Develop a procedure to ensure that outdated documents are promptly discarded or suitably identified to prevent obsolete editions from being used.
  • Ensure that current editions of documentation are available where needed.
  • Retain documentation and records for as long as needed to facilitate analysis and determine the necessity for corrective action according to a documented retention procedure.
  • Adhere to all Company policies and procedures.
  • Other duties and special projects as assigned.
  • Ensure that personal behaviors and work practices are in line with Company safety standards.
  • Responsible for safety of self and others in the vicinity to include, but not limited to, employees, vendors and guests.
  • Provide visible leadership engagement, be aware of housekeeping and take additional safety precautions to ensure no one is put at risk.
  • Do not take short cuts or unnecessary risks and actively work with others to ensure they take due care and do not put themselves or others at risk.
  • Ensure all incidents are reported and appropriately investigated in accordance with Company procedure.
  • As needed, seek advice from HSE representative.

Necessary qualifications, skills and abilities

  • A High School Diploma is required.
  • Should have at least 5 years of work experience in a document control environment.
  • Must be proficient in all MS Office products.
  • Must have specialized knowledge of records management principles, best practices and Federal Government laws and regulations pertaining to management of official government records.
  • Should be conversant with the issues raised by the management of Electronic Records.
  • Must have good written and verbal communication skills and able to effectively communicate in a professional manner with staff, management, customers and vendors.
  • Must be able to handle multiple tasks simultaneously while managing time in a proficient and effective manner.
  • Must be able to travel domestically and internationally.
  • Must have strong analytical skills and be able to make complex decisions while keeping the department’s and Company’s philosophies and goals in mind.
