Company Description

Ferrovial Construction Canada Inc. and VINCI Construction Grands Projets are undertaking the design, build, and finance the Ontario Line Southern Civil, Stations, and Tunnel (South Civil) package.

As Ontario Transit Group, we are now mobilizing our design and construction crews, with major works. The South Civil contract is anticipated to be completed in 2030.

The project will strengthen Ontario’s economy by supporting an estimated 1,500 jobs at the peak of construction.

What is the project?

  • A six-kilometer tunnel and associated tunnelling works from Exhibition to Don Yard portal (west of the Don River).
  • Stations:
    • One above-ground station to be integrated with the existing GO Transit Exhibition Station.
    • Two underground stations to be integrated with the existing TTC Osgoode and Queen subway stations.
    • Four new underground stations (King/Bathurst, Queen/Spadina, Moss Park, Corktown).

Job Description

The Contract Administrator supports the project team in managing contractual, commercial, and documentation requirements throughout the project lifecycle. This role assists with maintaining contract compliance, managing project records within contract management systems, and supporting the preparation of formal letters, change orders, risk registers, trackers and claims documentation.  

Working closely with project management, scheduling, procurement, and legal teams, the Contract Administrator helps ensure accurate reporting, timely documentation, and effective coordination with the relevant stakeholders. The position plays an important role in supporting contract communication protocols, monitoring contract obligations, and contributing to smooth project execution and close‑out. 

The salary range for this position is $65,000 CAD - $75,000 CAD, plus additional benefits.

Key Responsibilities:

Contract Compliance & Documentation Management 

  • Support ongoing monitoring of contract compliance and assist with identifying any deviations. 
  • Help prepare and maintain project communication protocols (internal and external). 
  • Assist in reviewing project correspondence that may have contractual implications. 
  • Use the project’s contract management software (Asite, SharePoint, Unifier, Dalux etc.) and ensure project records are accurately and promptly uploaded. 
  • Participate in periodic audits to verify documentation accuracy and completeness. 
  • Contribute to the maintenance of key project registers, change orders, claims and subject-specific logs. 
  • Monitor and track contract requirements to support a smooth project close‑out process. 
  • Assist in preparing and updating lessons learned documentation. 

Change, Risk, and Claims Support 

  • Support the change management process by preparing and updating the Change Order Register. 
  • Assist in maintaining the project risk and opportunities matrix. 
  • Help identify potential value‑adding opportunities or cost recovery items related to unforeseen events. 
  • Coordinate with project teams to collect documentation, records, and evidence needed for claims preparation. 
  • Assist in maintaining the Claims Register and liaise with internal teams and legal (as directed). 
  • Participate in coordinating external experts when required, such as delay analysis or cost assessments. 

Contract Administration & Project Coordination 

  • Assist in providing guidance on key contract clauses and support onboarding training for new team members. 
  • Work with project planners/schedulers and construction teams to help ensure updates align with contractual requirements. 
  • Support procurement and legal teams in preparing subcontract documents. 
  • Participate in project progress meetings (internal and client-facing) and prepare supporting documentation. 
  • Prepare claim summaries, trackers & dashboards, as required. 
  • Identify insurable events and ensure notifications are issued when required. 

Reporting & Systems Support 

  • Help prepare regular commercial and contractual reports for project leadership. 
  • Support ongoing updates to project registers, schedules, and compliance trackers. 
  • Maintain accurate records within contract management tools and assist with team user support or training. 
  • Keep project leadership informed of any emerging commercial or contractual issues.

Qualifications

  • Bachelor's Degree in Civil Engineering, Business Administration, Contract Management, or a related field; Civil Engineering or Law Degree is an asset.
  • Experience in contract management within the construction industry is an asset.  
  • Knowledge of contract law, regulations, and standard contract terms and conditions, and formal letter drafting is an asset.
  • Ability to work collaboratively in a fast-paced, deadline-driven environment.   
  • Excellent organizational skills with meticulous attention to detail.  
  • Exceptional written and verbal communication abilities. 
  • Proficiency in document management systems and MS Office Suite.
