Job Description

Purpose of the job

As part of our team, you will support a diverse portfolio of client entities by delivering professional administration and company secretarial services. Working alongside experienced colleagues, you will build your technical expertise, develop strong client relationships and contribute to the smooth and efficient running of client structures, while maintaining the highest standards of governance, compliance and client service.

Main Responsibilities

In this role, you'll be at the heart of supporting our Global Funds clients, helping them navigate their day-to-day administration needs while building strong relationships and gaining valuable industry experience.

  • Take ownership of the day-to-day administration of a portfolio of fund structures and client entities, ensuring activities are delivered accurately, efficiently and in line with regulatory requirements.
  • Build strong relationships with clients, colleagues and stakeholders, providing responsive support and contributing to a positive client experience.
  • Coordinate client deliverables and key deadlines, helping to ensure commitments are met and service standards remain consistently high.
  • Support good governance and compliance by maintaining due diligence records, managing statutory filings and assisting with regulatory submissions.
  • Play an active role in company secretarial matters, including preparing board packs, drafting resolutions, attending meetings and preparing minutes for less complex structures.
  • Assist with banking activities, including opening and maintaining bank accounts, processing payments and managing banking instructions.
  • Support clients with their ongoing regulatory obligations, including applications and renewals for Tax Residency Certificates, Data Protection registrations and other statutory requirements.
  • Manage priorities effectively, maintain accurate time records and consistently deliver high-quality work within agreed deadlines.
  • Respond to client queries in a professional and proactive manner, helping to find practical solutions and address issues efficiently.
  • Contribute to a collaborative team culture by sharing knowledge, embracing learning opportunities and supporting the continued success of our clients and Ocorian.

    Qualifications

    Knowledge, Skills and Experience

    • Educated to A Level standard or equivalent, with a degree in a relevant field and/or studying towards or holding a professional qualification such as CGI/ICSA, ACCA, ICAEW or STEP.
    • Previous experience within fund administration, trust and company administration, or the wider financial services industry would be advantageous.
    • Good understanding of fund, trust and company administration, with exposure to accounting principles and the tax implications of various structures.
    • Strong IT skills, including proficiency in Microsoft Office, and a willingness to learn new systems and technologies.
    • Comfortable using technology to support meetings, manage workflows and coordinate administrative activities efficiently.
    • Strong interpersonal and communication skills, with the ability to build positive relationships with clients, colleagues and stakeholders.
    • Organised, proactive and detail-oriented, with the ability to manage multiple priorities and deliver high-quality work within deadlines.
