Job Description

Purpose of the Role

We are looking for a proactive and detail-oriented Assistant Fund Administrator to support the delivery of fund administration services to a portfolio of client funds and investment structures. Working as part of a collaborative team, you will assist with a range of administrative, client servicing, and operational activities while developing your knowledge of fund administration, regulatory requirements, and the financial services industry. Main Responsibilities

  • Support Fund Administrators with the day-to-day administration of client funds and other investment structures.
  • Develop an understanding of the governing documents, agreements, and regulatory requirements relevant to client entities.
  • Act as a point of contact for allocated matters under supervision, responding to routine client and third-party queries and escalating more complex issues when required.
  • Prepare and maintain accurate records, correspondence, attendance notes, meeting packs, minutes, and other documentation.
  • Assist with periodic client reviews and ensure client files and records remain up to date.
  • Support tax-related activities, including the preparation and submission of returns and the payment of tax liabilities where required.
  • Ensure any issues, risks, or concerns are identified and escalated promptly to management.
  • Maintain accurate database, statutory, and client records, ensuring information is updated in a timely manner.
  • Assist with accounting and financial administration activities, working closely with internal teams where required.
  • Support the billing process, including the preparation and review of draft invoices and billing information.
  • Monitor outstanding debts and liaise with internal stakeholders to support effective debt management.
  • Provide support to colleagues during absences and ensure a smooth handover of client matters when required.
  • Contribute to additional tasks and projects as requested by the Manager, Management Team, or Directors.

Qualifications

  • Educated to A-Level, degree level, or equivalent.
  • Willingness to study towards a relevant professional qualification.

Skills, Knowledge and Experience

  • Strong administrative and organisational skills, with excellent attention to detail and a methodical approach to work.
  • Good written and verbal communication skills, with the ability to build positive working relationships with colleagues, clients, and external stakeholders.
  • Strong IT skills, including proficiency in Microsoft Office applications.
  • Previous office or administrative experience would be advantageous, although experience within funds or trust administration is not essential.
  • An interest in financial services and a willingness to develop technical knowledge within a regulated environment.
  • Positive, enthusiastic, and flexible approach, with a strong desire to learn and develop professionally.
  • Strong interpersonal skills and the ability to work effectively both independently and as part of a collaborative team.
  • A proactive, solutions-focused mindset with the confidence to seek guidance and escalate issues where appropriate.
  • Good time management skills, with the ability to manage multiple tasks and meet deadlines.
  • Commitment to delivering high-quality service, accuracy, and continuous improvement.
