Purpose of the Job
The post holder will provide flexible, confidential and high-quality Executive Assistant support to 3 members of the Executive Committee (ExCo) based remotely/London office. This will be for the CFO, COO and Global Head of Private Clients.
Main responsibilities
For all 3 C Suites:
- General:
- Complex and ever-changing diary management for executive stakeholders
- Co-ordinating and arranging internal and external meetings, lunches, workshops and offsite events etc
- Travel arrangements and itineraries, including any visa’s required
- Producing and amending documentation, memos and schedules
- Inbox management to ensure priorities are met and acting as their gate keeper
- Drafting / sending emails on the C Suite’s behalf for both internal and external communications
- Organising management meetings – both internal and at Board level, including the preparation of packs, agendas, meeting arrangements and all related duties
- Signing documentation as required
- Managing internal communication distribution lists
- Maintain and refine internal processes that support the C Suites
- Working across multiple time zones
- Processing expense claims
- Approving leave requests
- Travel approvals
- Working as part of the UK office/EA team to provide assistance and support across the business where capacity allows, particularly for holiday and sickness cover
- Works closely with the executives on special projects and undertakes special / ad hoc assignments as required.
For the CFO:
- Management of our travel agency including traveller profile creation, account management, overseeing the billing process etc
- Management of internal Monthly Business Review (MBR) meetings
- Writing board minutes where required
- Shareholder documentation management including creating, distributing and collating all paperwork, issuing sweet equity, capital injection and any other issuances, managing the internal database etc

Qualifications
- 3+ years of Executive Assistant experience, ideally in a financial services environment
- Extensive experience managing diaries/booking travel
- Strong time management skills and the ability to multitask and prioritise
- Confident user of key IT packages, including Word/Excel/PowerPoint/Outlook
- Excellent written and verbal communication skills
- Strong interpersonal skills and ability to build friendly professional relationships both as upward and downward management
- Professionalism and strict confidentiality between the 3 C Suites, as well as the rest of the business
- Exceptional organisational skills and the ability to problem solve
- The ability to use initiative and work independently in a large office environment
- Enthusiasm, reliability and flexibility
- Willingness to get involved and work as part of the team
- The ability to remain calm when under pressure and to meet deadlines
- Accuracy and an eye for detail
- The ability to time manage effectively and to prioritise and organise workflow
