Job Description

The Facilities Specialist will support the daily operations of the office, helping to keep the workplace safe, compliant, well-maintained, and running smoothly. This role is highly visible and acts as a key point of contact for employees, guests, and vendors, contributing to a friendly, organized, and welcoming office environment. 

The Specialist will help coordinate everyday facility tasks, assist during vendor visits, and support the Facilities team with ongoing projects. The role includes responding to employee requests, communicating with building services, and making sure that maintenance, cleaning, security, and other service providers have the access and information they need. The Specialist ensures smooth daily operations and a positive experience for everyone in the office. 

RESPONSIBILITIES 

  • Create a professional and welcoming experience for employees, clients, and visitors. 
  • Support on-site meetings, including room bookings and coordination with the AV team. 
  • Manage catering requests and ensure timely delivery and setup. 
  • Coordinate security badges for employees and guests. 
  • Monitor and order office supplies as needed. 
  • Oversee cleaning service performance levels. 
  • Oversee the daily functioning of building systems (HVAC, electrical, plumbing, access control, etc.). 
  • Conduct regular site inspections to identify maintenance needs. 
  • Respond to facility-related incidents, breakdowns, and emergencies. 
  • Act as the primary contact for local vendors and service providers. 
  • Coordinate work orders, supervise on-site contractors, and verify completed work. 
  • Support space planning activities, including seating arrangements and move coordination. 
  • Maintain accurate occupancy and desk allocation records. 
  • Ensure meeting rooms, shared areas, kitchens, and storage spaces are maintained and fully operational. 
  • Support logistics for deliveries, office equipment, and supplies redistribution. 
  • Provide administrative support, including basic ARIBA tasks. 
  • Manage incoming and outgoing mail and deliveries. 
  • Answer and direct phone calls professionally. 
  • Perform additional duties assigned by the supervisor. 

QUALIFICATIONS 

  • Relevant education and previous experience in a similar role. 
  • Minimum 2 years of customer service or front-office experience. 
  • Excellent written and verbal communication skills in both Polish and English. 
  • Positive attitude, willingness to learn and readiness to take on new challenges. 
  • Detail-oriented, proactive, and able to handle multiple tasks simultaneously. 
  • Proficiency in MS Office (Excel, Outlook, Teams). 
  • Fully on-site role (no hybrid work option).
