Job Description

We are seeking candidates to fill our Programs Coordinator role, joining us as a valuable member of the Programs team here at Near North Montessori.

Schedule: Tuesday through Saturday, working 10:00 am to 6:00 pm Tuesday through Friday, and 8:00 am to 4:00 pm on Saturday, with adjustments or additional time as required, including potential evening, weekend, or early morning work if necessary. This role may also support off-site daytime, evening, and overnight field trips as assigned, as well as staff childcare as assigned.

NNM's Programs Department offers many options to meet the needs of students and families beyond the school day. From before and after school care, to specialized activities, private music lessons and summer camp - there's something for everyone.

Position Overview:
The Programs Coordinator assists the Programs Director in the facilitation of the Near North Montessori (NNM) school’s Programs that occur beyond the typical school day.  This position provides support in the planning, preparation, and operations of the school’s before and after school care and activities, summer programming, music lessons and community programs.

Essential Functions and Responsibilities:

  • Support and guide students and families in Programs related activities throughout the school year and summer
  • Help create and maintain safe, educational, and fun activities/programs for students with respect for both school and family needs
  • Effectively use enrollment and database systems to generate documents and reports to facilitate programs' daily, weekly or per-session operations
  • Maintain and monitor the online registration database on a daily basis, including but not limited to daily registration updates and changes
  • Assist with staffing plans and substitutions for lessons, programs or other activities; complete and submit necessary paperwork regarding changes and updates
  • Respond to general parent inquiries, directing or escalating relevant inquiries to Programs Director as necessary
  • Responsible for program operations in the absence of the Programs Director
  • Write and/or proofread documents pertaining to the operations of auxiliary programs
  • Maintain clear, up-to-date databases with enrollment, scheduling, and cost data
  • Generate and distribute enrollment reports for administrators, teachers, and staff
  • Communicate with school staff to clarify program operations, reporting concerns and issues to the Programs Director and/or other areas
  • Communicate as needed with staff in the Finance Office, providing any relevant reports and data to support reconciliation of program revenue and expenses
  • Compile and distribute electronic mailings to parents and/or staff based on instruction and communication/marketing plans for the department
  • Compile reports and maintain monthly records of all private music lessons; submit reports regularly for family billing and instructor payment 
  • Contribute to staff orientation and ongoing support for employees working in the programs department
  • Assist in processing orders for programs, including snacks, supplies and other items that may be necessary
  • Assist in various programs to provide support to staff or children as needed and requested
  • Assist students with transitions in and out of after school, this includes other school activities, snack, carpool/pickup and more; ensuring safety at all times and following established school protocols for child pick up and drop off
  • Acquire professional training in the field by attending conferences, training workshops and other related activities
  • Perform other duties and responsibilities as required, assigned, or requested

Qualifications

  • Associate's Degree required, and Bachelor's Degree earned or in progress strongly preferred
  • 2+ years’ experience working in an office setting with the ability to consistently deliver a high level of professionalism and customer service
  • 1+ years' experience working with children from ages 1-14 strongly preferred
  • Previous education or non-profit experience a plus
  • Strong proficiency with databases and other computer programs for electronic communication, word processing, analysis and data presentation - including Microsoft Office products, Google Drive/Documents, Gmail 
  • Prior experience with maintaining, updating and building reports in a database
  • Demonstrated ability to provide high level of support and assistance with the ability to juggle multiple tasks with changing priorities
  • Attention to detail combined with great communication and organization skills
  • Ability to work well with others including internal and external customers

Additional Information

Full-time employment to start as soon as possible for the 2023/24 school year. This is a year-round role.

  • Pay Information: Eligible for a non-exempt salary, starting at $24 per hour.
