Job Description

A major focus of this role is to be responsible for the overall management of facilities and general affairs operations, including the maintenance of campus infrastructure, administrative support services, vendor and contract management, and workplace safety. The role is to ensure efficient, compliant, and high-quality operational support that enables a safe, functional, and conducive learning and working environment for students, staff, and stakeholders. This role reports to the DLI Chief Operating Officer.

  • Ensure first aid equipment is available on-site and coordinate periodic health, safety, and first aid training for staff.
  • Oversee day-to-day campus operations, including cleanliness, security, room readiness, equipment, recreational facilities, and overall campus safety.
  • Manage campus facilities and spaces for teaching, meetings, events, and external use (with COO approval), including scheduling systems and avoiding booking conflicts.
  • Oversee procurement, inventory, and distribution of office supplies, equipment, and assets, including document and archive management.
  • Manage vendor and outsourced services (e.g. cleaning, security, maintenance, F&B), monitor performance, and ensure service quality standards are met.
  • Coordinate maintenance, repairs, and statutory compliance for all campus infrastructure, systems, and equipment, including contractor management and service agreements.
  • Act as liaison with external stakeholders (e.g. landlords, authorities, service providers) and respond to emergencies to maintain a safe and functional campus environment.
  • Support operational planning and efficiency by managing budgets, analysing stakeholder feedback, monitoring utilities, and contributing to facilities and infrastructure planning.

Qualifications

Essential Skills, Knowledge, and Experience

  • Fluent in verbal and written English and Bahasa Indonesia
  • Bachelor’s degree in Facilities Management, Construction Management, Engineering, and/or related areas
  • Team player, good communication and interpersonal skills
  • Good time management skills and ability to work independently
  • Minimum 5 years of relevant experience in facilities management, general affairs, or operations, preferably in an educational institution.
  • Experience in vendor management, contract negotiation, and procurement processes.
  • Good understanding of budgeting, cost control, and administrative procedures.
  • Strong leadership and team management skills.
  • Excellent communication and interpersonal skills, with the ability to engage effectively with internal and external stakeholders.
  • Ability to handle multiple tasks, prioritize effectively, and work under pressure.
     

Desirable:

  • Strong knowledge of building maintenance, safety regulations, and campus operations.
  • Proficiency in Microsoft Office and familiarity with facilities management systems is an advantage.
  • Successful work experience in a multi-cultural environment.
