Job Description

OVERVIEW AND OBJECTIVES OF THE POSITION:

The Student and Academic Coordinator (Academic Operations) provides operational and administrative support to the Academic Manager and the academic team at La Trobe University Sydney Campus.

The role focuses on the day-to-day coordination of academic processes, student progress monitoring, academic workforce support, and reporting. A key component of the position is maintaining, analysing and reconciling academic and student data using Excel-based tools to support effective decision-making.

While the role involves working with data and reporting, it is primarily an academic administration role. Analytical and data visualisation skills are desirable but not essential. The position does not include teaching responsibilities.

KEY RESULT AREAS

Academic Administration and Coordination

  • Provide administrative support for the planning and delivery of undergraduate and postgraduate programs.
  • Assist with subject offerings, study plan setup and academic scheduling.
  • Support class timetabling coordination in collaboration with relevant teams.
  • Ensure academic information is accurate and up to date across internal systems and student portals.
  • Prepare and maintain academic documentation, trackers and records.
  • Assist with governance processes, including preparation of reports, agendas and supporting papers.

Student Progress and Academic Monitoring

  • Maintain and monitor student progression, enrolment and completion records.
  • Track academic progress and identify students requiring follow-up or escalation.
  • Support academic progress processes and related documentation.
  • Assist with study plan reviews, overload requests and withdrawal tracking.
  • Support coordination of student interventions in collaboration with the Academic Manager and Student Services.
  • Assist with academic events such as orientation, enrolment and progression briefings as required.

Reporting and Data Management (Excel-Focused)

  • Maintain and update Excel-based reports, trackers and dashboards related to enrolments, results, progression and staffing.
  • Reconcile data across multiple systems and identify discrepancies.
  • Produce regular and ad hoc reports to support academic operations and planning.
  • Support semester reporting and continuous improvement documentation.
  • Ensure data accuracy, consistency and version control across reports.

Academic Workforce and Teaching Staff Support

  • Assist with teaching staff coordination, allocations and record keeping.
  • Maintain teaching staff details, contracts and workload trackers.
  • Support onboarding processes for new sessional teaching staff.
  • Assist in monitoring teaching staff availability, coverage and resource needs.
  • Support coordination of professional development activities and compliance requirements.

Qualifications

Essential Skills, Knowledge, and Experience

  • Bachelor qualification in a relevant discipline, or equivalent professional experience.
  • Demonstrated experience in academic administration or student administration within tertiary education.
  • Advanced Excel skills, including use of formulas, lookups, pivot tables and data validation.
  • Strong attention to detail and ability to manage complex administrative processes.
  • Demonstrated ability to organise and prioritise tasks independently.
  • Strong written and verbal communication skills.
  • High level of computer literacy, including the MS Office suite and student management systems.
  • Ability to work effectively with a diverse range of stakeholders.

Desirable Skills

  • Experience working with academic or student data analysis and reporting.
  • Exposure to data visualisation or business intelligence tools (e.g. Power BI).
  • Experience in a multicultural education environment.
  • Familiarity with La Trobe University systems, policies and academic governance processes
