Job Description

Position Purpose
The Student and Academic Services Coordinator plays a key role in supporting student success by coordinating enrolment and retention data reporting, maintaining student records, and providing high-quality academic and administrative services. This role ensures accurate, timely data is available to management, contributes to a seamless student experience from enrolment through graduation, and actively identifies opportunities to improve processes and services.

Key Responsibilities:

  • Coordinate student enrolment and retention data reporting – prepare regular data reports, conduct analysis, and provide insights to inform student success initiatives and management decisions.

  • Ensure accuracy and compliance of student records, including DET and CoE reporting, through regular data checks and cleansing.

  • Support the management of examinations, including scheduling, venue setup, invigilator coordination, results processing, and release of results.

  • Assist with completion, graduation, and transition processes, including planning graduation ceremonies.

  • Assist with student finance administration of fees and payments. 

  • Suggest and implement process improvements to increase efficiency and service quality.

  • Build positive working relationships with staff, students, and partner stakeholders to ensure smooth operations.

  • Strong organisational skills with excellent attention to detail.

  • Ability to take initiative, work independently, and follow direction when required.

  • Good communication skills and a collaborative approach to problem-solving.

This is a full-time fixed term role.

Qualifications

i. Education and/or relevant experience equivalent to completion of a degree, or a diploma in conjunction with relevant work experience in an administrative role.

ii. Demonstrated advanced computer, data literacy and data analytics skills, including Word & Excel, and database systems. 

iii. Well-developed administration skills that include problem solving, analytical skills and a high level of accuracy and organisational skills with the ability to co-ordinate and prioritise workloads.

iv. Demonstrated ability to interpret, communicate and assist in the review of policies and to improve procedures and processes.

v. Excellent interpersonal communication skills including the ability to communicate effectively with clients from the academic and administrative areas.
