Job Description

We are looking for a detail-oriented and organized Event Specialist to join our team. In this role, you will be responsible for planning, organizing, and executing a variety of events (including meetups, seminars, and meetings) from conception to completion. You will work closely with clients, suppliers, and internal teams to ensure all logistical requirements are met and that every event is a success.

Key Responsibilities and Activities

  • Event Planning & Organization: Understand the unique requirements of each event. Plan and organize various event types (meetups, seminars, meetings, etc.) while successfully navigating and managing different constraints.
  • Client Satisfaction & Customization: Ensure that all booked services are tailored to the client's specific needs. Proactively make recommendations and suggestions to guarantee the event’s success.
  • Supplier & Procurement Management: Verify that all necessary suppliers and service providers are secured. If a supplier is missing, trigger the procurement process and assist in negotiations.
  • Logistics & Quality Assurance: Oversee all logistical aspects of the event to ensure that all requirements are fully met before and during the event.
  • Project Handover: Review and approve all event details and key points with the Project Manager during the official file handover.
  • Post-Event Analysis: Analyze feedback from clients after the event and suggest areas of improvement to optimize future operations.
  • Brand Ambassadorship: Act as an "Organization Champion," consistently promoting and defending the organization’s reputation, culture, and core values.

Qualifications

Language Skills:

  • English: B2 level (independent user, able to communicate effectively and handle business/professional interactions).
  • French: Minimum/basic knowledge required (for foundational tracking and communication).

Know-How & Experience:

  • Foundational knowledge of event planning concepts, with a strong desire to learn, deepen practical techniques, and apply structured methodologies.
  • Experience in supporting operational processes, performing concrete tasks that require critical judgment, and utilizing tools of moderate complexity.

Complexity & Problem-Solving:

  • Ability to perform repetitive tasks with unique specificities.
  • Strong capability to solve routine, day-to-day problems by selecting the best solution based on well-defined procedures.

Autonomy & Decision-Making:

  • Comfortable working within well-defined, standardized procedures and guidelines.
  • Able to work with a moderate level of autonomy while receiving regular supervision and guidance on progress and results from senior colleagues or managers.

Communication & Interpersonal Skills:

  • Excellent communication skills; understands how to adapt behavior and communication styles to effectively obtain and share information with different stakeholders.
  • Collaborative team player with a positive, client-oriented attitude.
