Job Description

Role Overview:
Ensure the continuous availability, security, and optimal performance of enterprise email and messaging platforms, enabling seamless business communication and collaboration across the organization.

Key Responsibilities:

  • Monitor messaging infrastructure health, perform proactive health checks, and review performance metrics to ensure high availability.
  • Manage enterprise mailboxes, including provisioning, permissions, quota management, and resolving escalated user issues.
  • Execute system maintenance activities such as patching, updates, backup management, capacity planning, and platform upgrades.
  • Configure and manage email security solutions, including anti-spam, anti-malware, phishing protection, DLP, encryption, and email authentication (SPF, DKIM, DMARC).
  • Configure, manage, and troubleshoot mail flow rules, transport rules, connectors, routing policies, and optimize mail flow to ensure efficient message delivery.
  • Provide Level 2/3 support for escalated incidents, conduct root cause analysis (RCA), and implement permanent fixes to prevent recurrence.
  • Monitor and optimize system performance, capacity, and resource utilization; analyze metrics and implement tuning strategies.
  • Develop and maintain automation scripts using PowerShell, Shell, Bash, or Python to streamline routine administrative tasks and improve operational efficiency.
  • Plan and execute platform upgrades, migrations, and maintenance activities with minimal disruption; participate in disaster recovery planning and business continuity exercises.
  • Maintain accurate documentation of system configurations, changes, procedures, and technical diagrams for knowledge management and compliance.

Qualifications

  • Minimum 7 years of hands-on experience supporting enterprise email and messaging platforms, preferably in large-scale or multi-site environments.
  • Experience managing Microsoft Exchange Server / Enterprise Windows Exchange environments, including mailbox administration, mail flow, system health monitoring, and performance optimisation.
  • Strong working knowledge of Active Directory, including user account management, access control, Group Policy Objects (GPO), and directory-integrated email services.
  • Experience supporting environments with high mailbox volume, ideally at enterprise scale such as 5,000 mailboxes or more.
  • Good understanding of email security controls, including anti-spam, anti-malware, phishing protection, mailbox permissions, transport rules, and secure mail flow configurations.
  • Knowledge of email authentication technologies such as SPF, DKIM, and DMARC.
  • Ability to configure, monitor, and troubleshoot mail flow rules, connectors, delivery queues, routing, and message tracking.
  • Strong troubleshooting skills to resolve email delivery issues, mailbox access problems, performance degradation, and escalated user incidents.
  • Experience in root cause analysis (RCA), incident investigation, and implementing permanent fixes for recurring messaging issues.
  • Familiarity with system maintenance activities, including patching, backup management, vulnerability management, capacity planning, and platform upgrades.
  • Ability to monitor messaging infrastructure health using monitoring tools, logs, dashboards, and performance/statistical reports.
  • Experience with ITIL processes, including Incident Management, Change Management, Problem Management, and Configuration Management.
  • Scripting or automation experience, preferably using PowerShell, Shell, Bash, or Python, to streamline routine administration and reporting tasks.
