Job Description

As Executive, Customer Ops & Admin, you will provide strategic and administrative support to senior leadership, enabling effective decision-making, seamless operations, and optimal time utilization. Acts as a trusted partner to the executive, ensuring priorities are managed efficiently and business objectives are supported.

**Note: this is a 1 year direct contract role 

Key Responsibilities

Calendar Management (Primary Focus - 70%) 

• Manage daily calendars for 3 partners, scheduling meetings and coordinating appointments

• Prepare meeting agendas and basic daily briefs to support executives

• Coordinate meeting logistics including room bookings, virtual meeting setups, and basic materials preparation

• Maintain accurate calendar records and follow up on scheduling conflicts

 

Administrative Support (20%) 

• Provide general administrative support to the project team

• Assist with document filing and maintenance in shared drives/libraries

• Support basic project order processing activities under supervision

• Coordinate responses to routine queries from internal stakeholders

• Perform data entry and basic compilation of information for reports

 

Events Coordination (10%) 

• Provide logistical support for team events and meetings

• Assist with basic event coordination tasks such as venue booking, catering arrangements, and attendee management

 

Ad-hoc Duties 

• Other administrative tasks as assigned by supervisors

Qualifications

The ideal candidate should possess:

Essential: 

• Diploma in Business Administration or related field

• 1-2 years of administrative or secretarial experience

• Strong organizational skills and attention to detail

• Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)

• Excellent communication and interpersonal skills

• Ability to multitask and prioritize in a fast-paced environment

• Proactive, reliable, and able to work independently with guidance

Desirable: 

• Experience supporting senior executives or managing calendars

• Familiarity with SharePoint or document management systems

• Basic understanding of project administration processes

Training & Development Provided

• On-the-job training for project-related administrative tasks
