Job Description

The Client Services Specialist works closely with brands (clients), post teams, and internal departments within the larger organization to orchestrate the successful management and execution of post-production services for requests on behalf of our programming and marketing clients.  This role will be the internal contact resource for our overall Post department, our clients, and our extended post teams.  In this role, the Client Services Specialist will execute on a high level to ensure that all requests, inquires, and workflows are completed in a timely manner, and service costs and budget are communicated and maintained. This role will also support additional initiatives and projects as needed.

  • Plan and schedule staffing with CS Coordinator(s) for editorial, audio, color correction, prep requests in collaboration with internal Post Management.
  • Participate in and lead PTO tool demonstration for new all new Post Production teams and or Post Production team members.
  • Participate in client meetings and kick-off calls to obtain details needed to execute requests and/or onboard new workflows or increased volume with our Marketing and Peacock streaming Clients.
  • Collaborate with client service managers and internal Post management, to spec out financial impact and hours allocated for post services being requested by our Programming, Marketing, and Streaming Clients.
  • Create and maintain production calendars, detailed documents, and timelines to project manage and report out to all levels of leadership and clients as needed.
  • Pull reports from scheduling application (ScheduALL) and Tableau to track project hours against budget (allocation or business case) when needed.
  • Operational support for post-production management team and Client Service manager when needed.
  • Trouble-shoot and escalate CS team workflows to CS manager and or internal Post team when needed.
  • Manage and track time off requests for all Post employees with Client Service Coordinator(s). 
  • Understanding of various workflows, and tools used within Post Production needed to execute and escalate issues effectively. 
  • Assess processes on a routine basisroutinely to develop workflow improvements to promote continued productivity, increased reliability, and growth opportunities for our overall team.
  • Create and maintain SOPs for all Client Services workflows when needed.
  • Assist Client Services team in supporting, tracking, and reporting to clients.
  • Service client base in multiple locations and time zones.
  • Project Manage and execute multiple short form Marketing requests and workflows simultaneously in a tight turnaround and deadline driven environment.
  • Onboard new workflows and or projects for Client Services team when needed.
  • All additional duties as assigned

Qualifications

  • 3+ years of experience in post-production environment; 1 year+ of experience in client services
  • 1+ year of experience working with Tableau  
  • Bachelors degree or in lieu of degree must have 4 years of relevant experience 
  • Ability to establish priorities and manage multiple projects, budgets, and client requests independently to meet demanding deadlines
  • Perform effectively in a fast-paced environment with frequent workload, resource, and timeline changes
  • Strong communication and client service skills required for interacting with co-workers, clients, and varying levels of senior leadership.
  • Knowledge of all Microsoft Office applications and Excel
  • Extremely well organized
  • Ability to train others
  • Must be willing to work in Englewood Cliffs NJ
  • Willingness to work overtime, and on weekends

Hybrid: This position has been designated as hybrid, generally contributing to the Englewood Cliffs campus in New Jersey a minimum of three days per week.
