Job Description

Duties and Responsibilities (General):

1. Submit reports and projects within the agreed deadlines to superiors as well as follow up administrative work timely and efficiently.

2. Answer telephone calls, enquiries and requests, and handle them when appropriate.

3. Meet and greet visitors at all levels of seniority.

4. Schedule meetings, answer interoffice inquiries and communicate all operational data to management.

5. Deal with incoming email, faxes and post, often correspond on behalf of Director of Sales & Marketing.

6. Take dictation and minutes.

7. Carry out background research and present findings.

8. Produce documents, briefing papers, reports and presentations.

9. Prepare Banquet and Villa Forecast, Weekly Planner and Sales Call Report from Sales Manager in weekly basis.

10. Liaise with Clients and other Sales and Marketing team members.

11. Devise and maintain office systems, including data management, filing, etc. within KL Sales Office and Resort Sales Office.

12. Arrange travel and accommodation and, occasionally, travel with the manager to take notes or dictation at meetings or to provide general assistance during presentations.

13. Assist the Sales & Marketing Department to consolidate orders and to co-ordinate with production, key accounts, logistics and branch heads on all sales issues.

14. Plan and co-ordinate with the suppliers to ensure that goods are supplied on a timely basis to the Company.

15. Reconcile stock movements and to submit all relevant documents to Finance Department.

16. Participate in monthly stock count exercise and furnish findings to the Management.
